Administration & Procurement Department - Role Overview
The Administration and Procurement team is recruiting for a Procurement Analyst / Senior Analyst to manage and optimize procurement functions under a 12-month contract period.
Responsibilities
- Conduct detailed analysis of procurement data to spot trends, identify potential cost savings, and recommend process improvements.
- Assist in sourcing activities including evaluating suppliers, managing RFPs/RFQs, benchmarking prices, and analyzing contracts.
- Generate tracking reports on key procurement performance indicators and expenditure metrics for stakeholders.
- Participate in ad-hoc procurement projects aimed at process enhancements and cost reduction.
- Help with onboarding new suppliers and ensure vendor records and contract documents are accurately maintained and updated.
- Monitor contract adherence and supplier performance, addressing any issues or discrepancies promptly.
- Communicate with suppliers to resolve concerns related to delivery timelines, pricing, or service quality expediently.
- Negotiate pricing and service agreements with suppliers to secure cost-effective, quality products and services.
- Manage the issuance of purchase orders for goods and services.
- Support forecasting and procurement planning activities monthly based on departmental inputs.
- Ensure proper documentation and timely submission of procurement records for accounting and audit requirements.
- Maintain organized, confidential filing systems for procurement documentation.
- Collaborate cross-functionally with Finance, Legal, Risk, and Compliance teams to align procurement practices with company policies and business objectives.
- Handle all sensitive information with strict confidentiality.
- Contribute proactively to team goals and promote continuous process improvement efforts.
Requirements
- Diploma, degree, or equivalent qualification related to relevant fields.
- Between 2 to 4 years of experience in a procurement-related position.
- Familiarity with supplier sourcing procedures, including researching, evaluating, and liaising with vendors.
- Understanding of supply chain processes and analytical capabilities to generate financial and cost analysis reports.
- Strong negotiation and communication proficiencies.
- Proficient in Microsoft Office suite including Excel, Word, and PowerPoint.
- Willingness to perform any additional responsibilities assigned by the reporting manager.
