Role Overview
We are looking for a highly organised and proactive Personal Assistant to support the Head of Sustainability and their team within a dynamic commodities trading business located in the City of London. This position offers a unique blend of senior PA duties alongside broader team coordination responsibilities within an expanding Sustainability function.
Key Responsibilities
- Managing complex calendars and inboxes efficiently to support the Head of Sustainability.
- Arranging international travel logistics including bookings and itineraries.
- Handling financial administration such as expenses, invoicing, and purchase order management.
- Serving as a primary point of contact, ensuring smooth day-to-day operational flow.
- Drafting, proofreading, and managing communications on behalf of the Head of Sustainability.
- Prioritising tasks proactively to create time efficiencies for leadership.
- Supporting the Sustainability team by organising meetings, preparing agendas, recording minutes, and ensuring follow-ups.
- Coordinating team events, offsite activities, and internal initiatives.
- Managing logistical aspects including meeting room bookings and catering arrangements.
- Providing administrative assistance and supporting cross-functional coordination within the wider team.
- Enhancing team visibility and collaborative processes.
Qualifications and Experience
- Two to three years of experience in a Personal Assistant or Team Assistant role, preferably within financial services.
- Excellent written English communication skills.
- Strong organisation and diary management capabilities.
- Experience thriving in fast-paced, evolving work environments.
- Confidence in handling financial tasks such as expenses, purchase orders, and invoicing.
- Keen attention to detail, particularly in drafting and reviewing communications.
- Approachable, friendly, and team-oriented personality.
- Proactive mindset with a can-do attitude and flexibility to adapt to changing priorities.
- Ability to work independently, bringing structure where processes may be underdeveloped.
- Excellent relationship building and interpersonal skills across diverse teams.
Work Arrangement
This is a hybrid role requiring 3 days in the office during the first one to two months, transitioning to four days of office presence thereafter.
