Role Overview
The Payroll Specialist is responsible for executing daily payroll functions within a substantial department, handling confidential information with discretion and professionalism. They oversee workflow to guarantee that all payroll transactions are processed correctly and on time, including time and attendance tracking and its integration with payroll systems.
Key Responsibilities
- Manage daily payroll processing for a large team.
- Handle sensitive materials with professionalism and confidentiality.
- Ensure accurate and timely processing of payroll transactions through effective workflow management.
- Process time and attendance data and integrate it with payroll systems.
- Assist with onboarding paperwork, terminations, and employee record updates.
- Validate and compare work schedules, time clock entries, and payroll data.
- Perform ongoing audits of time entries, make necessary adjustments, and document discrepancies.
- Communicate effectively with management at various levels.
- Analyze situations, solve problems, and make informed decisions.
- Use organizational and multitasking skills to meet deadlines and produce accurate results.
- Develop specialized financial and operational reports as needed.
- Handle year-end payroll reporting accurately and punctually.
- Prepare internal payroll reports as required.
- Understand employer-paid benefits taxation.
- Filing and maintaining payroll documentation promptly and securely.
- Process manual paycheck issuance.
- Perform other related duties as assigned.
Qualifications
- Minimum of a High School Diploma or GED.
- At least four years of payroll processing experience, including one year with an organization of over 200 employees.
- Comprehensive understanding of payroll best practices plus federal and state regulations.
- Proficiency in PC use, especially Microsoft Excel, and familiarity with Kronos and ADP payroll systems.
- Strong ethical standards along with excellent verbal and written communication skills.
Preferred qualifications:
- Advanced knowledge of scheduling software that integrates with Kronos and ADP.
- Possession of a professional payroll certification.
- Continuous engagement in professional education and seminars.
- An Associate degree in Mathematics, Accounting, or a related field from an accredited institution.
