Role Overview

The Operations Specialist will provide essential day-to-day operational support to the Dayton Program Management Office. This role involves assisting Program Managers who oversee multi-million dollar contracts for the U.S. Air Force, Department of War, and other governmental entities.

Key Responsibilities

  • Edit, review, and compile program deliverables and status reports.
  • Manage employee travel requests by reviewing, processing, and tracking them.
  • Approve expense reports ensuring accuracy and appropriate documentation before reimbursement.
  • Handle onboarding and offboarding procedures for staff arrivals and departures.
  • Maintain confidentiality and timely updates of employee data using spreadsheets.
  • Record and keep detailed notes and meeting minutes as necessary.
  • Track and manage office equipment inventory accurately.
  • Order and replenish office supplies as needed.
  • Ensure contract tasks, deliverables, and deadlines are tracked and met promptly.
  • Coordinate and communicate with employees, task leads, business partners, government officials, and clients.
  • Serve as the local liaison between employees, Program Managers, and corporate teams.
  • Assist with organizing business meetings and events such as job fairs and employee gatherings.
  • Perform additional duties as assigned by Program Managers.

Required Qualifications

  • Advanced proficiency with Microsoft Office suite including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Experience with timekeeping systems such as Deltek and Costpoint.
  • Familiarity with travel and expense management platforms like SAP and Concur.
  • Strong understanding of international travel regulations.
  • Practical knowledge managing travel in line with Federal Travel Regulations (FTR), Joint Travel Regulations (JTR), and General Services Administration (GSA) policies for compliant travel planning and reimbursement.
  • Competence in records management and organizational skills.
  • Excellent communication abilities.
  • Capability to take precise and comprehensive meeting minutes.
  • Preferred knowledge of Department of Defense, U.S. Air Force, and government contracts.
  • Familiarity with project management principles is advantageous.
  • Willingness to work after hours and travel occasionally as required.
