Role Overview
The Ombudsman Specialist plays a critical role in managing escalated inquiries from members and clients, delivering resolutions efficiently while maintaining outstanding customer service in a dynamic environment.
Key Duties
- Respond promptly to a large volume of member inquiries through phone and email, ensuring accurate and professional communication.
- Handle sensitive escalated issues on behalf of senior leadership with timely and appropriate actions.
- Work jointly with internal departments and external partners to resolve complex complaints and monitor case progression.
- Generate, analyze, and report operational performance metrics and data insights.
- Conduct research and compose clear, well-structured responses while staying informed about relevant policies, initiatives, and legislative developments.
- Recognize recurring themes from escalations, offer constructive feedback, and assist in refining processes to reduce future issues.
- Forge effective interdepartmental collaborations demonstrating leadership and strong interpersonal abilities.
Qualifications & Skills
- Possess a bachelor’s degree in business, communications, or a closely related field.
- Bring at least six years of relevant experience in customer service or related roles.
- Demonstrate proficiency with Microsoft Office applications and competence with internal software tools.
- Exhibit exceptional written and oral communication skills coupled with strong analytical and problem-solving capabilities.
- Capable of managing multiple priorities simultaneously, making sound decisions independently under time constraints.
- Maintain keen attention to detail, take ownership of tasks, and remain flexible to work beyond usual operating hours as required.
