About Propelus

Propelus builds technology that streamlines workforce compliance across healthcare. Through its platforms and partnerships, the company helps professionals, employers, and regulators work together more effectively, supporting a more connected healthcare ecosystem. With more than 20 years of experience, Propelus focuses on simplifying complex compliance work, lowering risk, and improving outcomes for the healthcare workforce.

Role Summary

The Marketing Operations & Project Manager will act as the central operations partner for the Marketing organization. This person will be responsible for the marketing technology environment, data quality, compliance alignment, process improvement, and project coordination that help the team move faster and execute campaigns more effectively.

This position suits someone who enjoys working hands-on with HubSpot workflows, managing project boards, and turning data into insights for leadership. You will collaborate with stakeholders across Growth Marketing, Product Marketing, Creative, Digital Marketing, RevOps, and Sales to keep systems, priorities, and initiatives aligned.

The role also calls for an AI-forward approach: you should actively test AI tools, find practical ways to reduce friction, implement useful solutions, and help others adopt them. Examples mentioned include Claude CoWork, HubSpot Breeze AI, and Monday.com AI.

Key Responsibilities

You will oversee the marketing tech stack, manage HubSpot Marketing Hub as the primary system owner, maintain workflows and automation outside of live campaigns, and recommend tools or integrations that improve efficiency. You will also act as the go-to person for the Marketing team on HubSpot and related platforms.

On the data and compliance side, you will manage the marketing portion of CRM operations within HubSpot, including contact structure, list management, campaign tracking, and adherence to privacy and email marketing rules such as GDPR, CCPA, and CAN-SPAM. You will coordinate with RevOps to keep marketing and sales data aligned, maintain accurate records across systems, and support lead review and routing to Sales.

You will build dashboards, reporting views, and attribution frameworks that help the team track performance and make decisions based on reliable data. This includes using AI-enabled analytics tools and natural-language querying to speed up reporting and reduce manual data work.

Operationally, you will look for inefficiencies, introduce scalable automations, document repeatable workflows, and support AI-assisted ways of working across the team. You will also help coordinate new customer welcome gifts as part of campaign operations.

From a project management perspective, you will own intake and prioritization for new requests, administer the team’s Monday.com workspace, maintain templates and status tracking, manage the campaign operations calendar, and keep cross-functional dependencies visible. You will coordinate timelines across multiple marketing groups, share progress updates with leadership, and help establish benchmarks to improve future delivery.

Requirements

The role requires at least 5 years of experience in marketing operations, marketing technology, or a similar function. Strong hands-on experience with HubSpot Marketing Hub is essential, especially with workflows, forms, lists, campaigns, and reporting.

You should be comfortable using project management tools for marketing work; Monday.com is preferred, though not mandatory. A solid grasp of CRM systems, especially HubSpot and ideally Salesforce, is important, along with strong practices around data governance and marketing data management.

You must understand key compliance and privacy frameworks relevant to marketing, including GDPR, CCPA, and CAN-SPAM. The role also requires strong analytical ability, the capacity to explain data clearly to non-technical audiences, excellent communication skills, and the executive presence to work with leadership. You should be organized, self-directed, comfortable with ambiguity, and effective in cross-functional environments.

Nice to Have

A bachelor’s degree in Marketing, Information Systems, Business, or a related area is preferred. Additional pluses include familiarity with HubSpot AI features such as Breeze AI, Copilot, and predictive scoring; comfort with Claude CoWork; experience with analytics and dashboard tools such as HubSpot reporting, Google Analytics, or Tableau; and a track record of managing several concurrent initiatives in a fast-paced setting.

Benefits and Perks

Propelus highlights several employee benefits, including recognition as one of BuiltIn’s 2025 Best Places to Work and as a Silver Stevie® Award winner in the 2025 Stevie Awards For Great Employers. The company also offers a professional development allowance, flexibility to support work-life balance, and generous PTO that includes time off for volunteering, birthdays, and becoming a new parent.

For US employees, the package includes a 401(k) with company match, financial planning education and resources, medical/dental/vision coverage options through HSA, FSA, or traditional plans, and a Lifestyle Spending Account that can be used for wellness, learning, or personal needs.

For LATAM employees, the benefits include 100% company-paid health insurance premiums with national and international coverage, monthly points through Propelus Flex Club, exclusive discounts, and company-paid life insurance with the option to add beneficiaries at a discounted rate.

Additional Information

Propelus is an equal opportunity employer and welcomes candidates from all backgrounds. The company states that it does not discriminate based on race, religion, color, national origin, gender, sexual orientation, age, marital status, veteran status, or disability status.

Full-time roles are expected to follow a 40-hour workweek, Monday through Friday, unless project needs require otherwise. Part-time roles are limited to 30 hours per week. Equipment, benefits, and perks are not offered to part-time or temporary employees.

The compensation range for this position is $80,000 to $100,000 annually.
