Role Overview
As a Logistics Coordinator, you will play a crucial role in driving the company’s aggressive sales targets by enhancing business scalability, productivity, and delivering exceptional customer satisfaction. Your commitment to outstanding customer service will be pivotal within the organization.
Key Responsibilities
- Oversee comprehensive order fulfillment operations at Singapore warehouses (both internal and external), managing all product categories and shipment types including spare parts, third-party materials, demo units, marketing events.
- Process STO Purchase Orders within SAP, securing stock allocations through collaboration with the SIOP team, while ensuring PO delivery dates are accurate and maintained.
- Act as the primary liaison for order monitoring, mitigating delivery delays by escalating STO PO issues to supply planning teams when lead times are prolonged.
- Maintain proactive communication with customers, Channel Sales, and Business Development teams to report issues and update on order status.
- Coordinate transport bookings with international freight forwarders, tracking inbound shipments to guarantee timely and smooth delivery to meet customer commitments.
- Optimize shipping lanes and import routes to reduce transportation costs and improve delivery schedules.
- Partner with Custom Brokers to facilitate customs clearance and handle shipments requiring CARNET within the APAC region if applicable.
- Manage inbound and outbound shipment processing with 4PL/3PL providers and internal teams, including SAP system postings such as goods receipt, delivery notes, goods issues, and stock adjustments.
- Prepare and handle all necessary documentation for shipments, including commercial invoices, packing lists, and permits.
- Support month-end activities by flagging shipments at risk of revenue loss and collaborating with sales managers to address gaps.
- Serve as the internal point of contact for shipping rate negotiations, obtaining competitive freight quotes with appointed 4PL providers.
- Handle additional logistics tasks related to APAC operations such as repair logistics, advanced replacement warranties, reverse logistics, and stock buy-backs.
- Oversee 3PL warehouse daily operations ensuring compliance with the Scope of Work and peak efficiency, including managing inventory controls and periodic cycle counts to reconcile physical stock with SAP records.
- Maintain master data accuracy for Singapore warehouses, performing regular updates and cleanups.
- Ensure proper documentation and record-keeping in accordance with Harman’s Document Retention Policy, supporting internal and external audits.
- Review and improve warehouse SOPs related to inbound, outbound, inventory control, and system processes to align with business needs.
- Manage billing activities tied to logistics transactions, verifying necessary documents.
Qualifications and Skills
- Minimum 3 years experience in logistics, supply chain, or customer service functions.
- Proficient in Microsoft Office applications, especially Excel; SAP experience is mandatory and CRM experience is advantageous.
- Detail-oriented and results-driven with strong verbal and written communication skills.
- Excellent team player with the ability to work effectively across diverse cultures.
- Capacity to manage responsibilities under pressure, thriving in fast-paced, revenue-driven environments with a positive mindset.
Preferable Attributes
- Diploma or higher qualification in Business Management or related field.
- Strong analytical capabilities to identify solutions using diverse data sources.
- In-depth knowledge of shipping processes, including air and ocean freight terminology, Incoterms, and multimodal transport.
- Resilient, proactive self-starter with foresight to anticipate and mitigate potential shipment delays.
- Willing to work overtime as needed, especially at month-end.
