Position Overview

The IT Systems Administrator is responsible for managing daily IT operations and securing WVCW's information technology infrastructure. This role involves providing reliable technical support, protecting sensitive information, and ensuring technology solutions evolve to meet organizational requirements. Core responsibilities include managing networks, servers, endpoint devices, conferencing and telehealth systems, and integrating emerging technology tools such as AI applications with compliance and professionalism. The position requires a balance of independent problem-solving and active collaboration with teams and leadership.

This is a full-time, onsite position with a 40-hour workweek. The administrator will be expected to be available during regular work hours, with agreed-upon scheduling with their supervisor, and must be reachable outside of these hours for emergency situations. Compensation will cover off-hours response time. Emergency responses will be coordinated with support from operations staff to ensure efficiency.

Key Responsibilities

  • Administer, maintain, and troubleshoot IT infrastructure including virtual machines and endpoint hardware.
  • Oversee internal network components such as firewalls, VPNs, routers, wireless access points, and backup systems.
  • Continuously monitor system performance and security, proactively mitigating risks and vulnerabilities.
  • Execute system backups, data recovery, patching, and regular software and hardware updates.
  • Document configurations for networks, servers, and devices to maintain up-to-date records.
  • Ensure consistent and uninterrupted connection to hosted systems and services.
  • Respond promptly to help desk requests via ticketing system, phone, or direct interaction with users.
  • Diagnose and resolve hardware, software, network, and access issues across the organization.
  • Maintain detailed records of service requests, solutions, and recurring problems to inform improvements.
  • Follow up with users to ensure issues are fully resolved before closing support tickets.
  • Manage employee access setup and deactivation for various programs.
  • Provide IT systems orientation information for new employees.
  • Support deployment, optimization, and troubleshooting of EHR and clinical systems including MFA Citrix, Topaz, and FTP server.
  • Maintain hardware and software to comply with EHR recommendations and coordinate with vendors for secure EHR integration and upgrades.
  • Collaborate with external vendors and ESA on IT tickets related to the Electronic Health Record provider.
  • Manage telecommunications, including VoIP phone systems, video conferencing, and telehealth platforms to ensure effective communication channels for teams and clients.
  • Maintain and troubleshoot media and teleconferencing equipment in collaboration with vendors and contractors, preserving professional partnerships.
  • Implement and monitor cybersecurity aligned with HIPAA Security Rule and agency policies, including management of user accounts, permissions, and MFA.
  • Engage in incident response planning, risk analysis, and regulatory compliance audits.
  • Train staff on cybersecurity best practices and data protection awareness.
  • Oversee Google Workspace security configurations and user access controls to protect sensitive data.
  • Ensure full compliance with HIPAA Hitech policies including conducting downtime tests and risk assessments.
  • Participate in drafting and revising IT policies and procedures to meet evolving security and legal standards, working in partnership with leadership and program teams.
  • Maintain a comprehensive inventory of IT assets such as laptops, desktops, mobile devices, and network equipment.
  • Handle imaging, configuration, deployment, and lifecycle management of user equipment, including training staff on new technologies.
  • Evaluate and implement emerging technology solutions including AI applications, ensuring alignment with organizational security, privacy, and ethical guidelines.
  • Stay informed on technology trends, cybersecurity threats, and best practices, providing relevant updates to leadership and program teams.
  • Contribute to IT projects and initiatives aimed at improving system efficiency, security, and user experience.
  • Perform additional duties as assigned to support WVCW's mission and operational goals.

Qualifications and Skills

  • Associate’s degree in Information Technology, Computer Science, Cybersecurity, or a related field; or an equivalent combination of education, certifications, and professional experience.
  • At least two years of progressive IT experience including systems, networks, and help desk support.
  • Preferred experience supporting Electronic Health Record (EHR) systems or within healthcare technology environments.
  • Strong proficiency with Google Workspace, Windows and Mac operating systems, Microsoft Office Suite, endpoint protection software, and Mobile Device Management (MDM) tools.
  • In-depth knowledge of cybersecurity principles including Multi-Factor Authentication (MFA), encryption, patch management, and threat detection techniques.
  • Ability to maintain confidentiality and comply with HIPAA and other privacy regulations.
  • Excellent analytical and troubleshooting skills to address diverse technical problems.
  • Strong independent work ethic with ability to prioritize tasks and solve issues with minimal supervision.
  • Exceptional verbal and written communication skills capable of translating technical information clearly to non-technical users.
  • Well-developed organizational and documentation abilities with attention to detail.
  • A service-oriented attitude with patience, cultural sensitivity, and dedication to equity and inclusion.
  • Resilient and calm under pressure, especially during critical incidents or system outages.
  • Ability to pass pre-employment drug screening and criminal background checks, including compliance with federal guidelines on marijuana.
