Role Overview
The Inventory Coordinator will oversee the daily handling of finished products and raw materials across warehouse and distribution settings, ensuring timely availability for production and clients. This role involves direct supervision and coordination of physical stock movements, record reconciliation, staff management, and maintenance of documentation protocols to uphold audit readiness. The position plays a key role in preserving inventory accuracy, supporting service efficiency, and mitigating operational risks throughout the logistics process.
Responsibilities
- Organize, oversee, and coordinate inbound shipments, storage, picking, packing, and dispatch processes to ensure smooth warehouse operations without delays.
- Ensure inventory accuracy through regular cycle counts, investigate discrepancies, and align physical stock with electronic records in the ERP system, particularly Odoo.
- Confirm that all warehouse and logistics procedures are properly authorized, documented, and traceable from receipt through to dispatch, maintaining a comprehensive audit trail.
- Apply and monitor food safety, hygiene, and occupational health and safety standards during all warehouse operations, including temperature monitoring, pest control checks, and correct materials handling.
- Manage warehouse and logistics teams by delegating tasks, assessing performance against turnaround targets, and providing coaching on procedural compliance and safety standards.
- Detect process bottlenecks, near-misses, and weaknesses in warehouse controls, then implement corrective measures or process improvements to avoid repeat occurrences.
- Produce and update inventory, stock movement, and dispatch reports using Microsoft Excel, delivering precise data to inform management decisions.
- Coordinate with suppliers, internal production planners, and customer service departments to ensure prioritization of orders and adherence to delivery schedules.
Requirements
- A diploma or relevant certificate in inventory management, logistics, supply chain, warehousing, business administration, or related supply-chain field.
- Minimum of five years’ experience in practical warehouse operations, inventory control, logistics, or supply chain practices.
- At least two years in a supervisory or team leader capacity, managing daily tasks and accountability of team members.
- Proficient with ERP systems, ideally Odoo, and advanced skills in Microsoft Excel for stock reconciliation, tracking, and reporting.
- Strong knowledge of internal control systems, stock accountability measures, audit requirements, and inventory governance with diligence in maintaining accurate records.
- Understanding of food safety, hygiene, quality assurance, and occupational health and safety requirements relevant to distribution environments and consistent application of these standards.
- Exceptional attention to detail to accurately verify, authorize, document, and process warehouse operations without errors.
- Excellent communication, numerical, and organizational abilities to effectively manage multiple priorities and meet deadlines while adhering to processes.
- Possession of a valid forklift, reach truck, or narrow aisle truck license is considered an advantage.
