Overview
The Front Office Supervisor role represents the face of the Front Office department and the hotel itself, maintaining a professional, well-kept workspace and supporting the team in daily operations. The supervisor aids Duty Managers in handling guest concerns, oversees operational checklists, leads team briefings, ensures compliance with all governmental and hotel policies, and manages the overall efficiency of front office functions.
Key Responsibilities
- Maintain a clean and presentable front office environment, acting as an ambassador both on and off duty.
- Coordinate and supervise daily front office operations, assisting team members where necessary.
- Support Duty Managers in addressing and resolving guest complaints professionally.
- Conduct spot checks and ensure completion of daily checklists and logs.
- Lead daily briefings to communicate essential updates about guests, operations, and group arrivals.
- Manage resources and requisitions for smooth front office operations, adhering to proper telephone etiquette according to luxury standards.
- Adhere to all immigration, financial, and audit procedures related to guest files and transactions.
- Handle room status monitoring, discrepancy checks, and manage overbooking by securing external accommodations if necessary.
- Promote hotel facilities and loyalty programs, including upselling rooms and food and beverage services to enhance revenue.
- Ensure proper cash handling, cashier closing duties, and thorough shift handovers.
- Support a discrimination-free, respectful, and culturally sensitive workplace, promptly handling related complaints confidentially.
- Deliver exceptional guest services, including welcoming, check-in/out processes, privacy respect, complaint management, VIP recognition, guest history maintenance, and accurate room allocation.
- Adapt to changing departmental needs, with flexibility to assume additional tasks or redeployment as business demands.
- Implement and enforce health and safety standards including hazard reporting, emergency procedures, and safe work practices.
- Maintain strict confidentiality of all hotel, customer, and employee information, adhering to data security policies.
- Stay fully knowledgeable about hotel emergency procedures, facility offerings, operational standards, company vision, payment methods, and marketing promotions.
