Role Overview: Facility Manager
Reporting to the AGM of Community & Operations, the Facility Manager ensures the workspace operates safely, efficiently, and smoothly on a daily basis. Their responsibility encompasses infrastructure upkeep, regulatory compliance, and cultivating a seamless environment for both members and staff.
The core objective is to maintain an optimally managed, secure, and efficient setting that promotes productivity, health, and operational excellence.
Key Duties and Responsibilities
- Oversee everyday facility operations ensuring infrastructure, utilities, and services work effectively.
- Execute both preventive and urgent maintenance of HVAC, electrical systems, plumbing, fire safety measures, and physical infrastructure.
- Perform routine inspections to detect and resolve facility issues promptly.
- Ensure all communal spaces, work areas, and amenities meet high standards of cleanliness and hygiene.
- Monitor and manage energy usage integrating sustainability practices to lower expenses and environmental impact.
- Oversee waste disposal, recycling initiatives, and supply inventories to streamline operations.
- Regularly audit compliance with health, safety, and building codes, alongside conducting staff training.
- Lead vendor management including contracting, performance monitoring, negotiations, and service quality assurance in housekeeping, security, maintenance, pest control, and landscaping.
- Manage vendor-related invoicing and documentation ensuring contractual adherence.
- Coordinate seamless move-ins/move-outs minimizing operational interruption.
- Maintain and audit records of assets, inventories, equipment, and implement asset tagging and maintenance planning.
- Supervise minor renovation projects and workspace modifications according to changing business requirements.
- Maintain comprehensive documentation including maintenance logs, contracts, compliance certificates, and regular performance reports with suggested improvements.
- Respond efficiently to emergencies and facility incidents, prepare and update contingency protocols, liaise with involved parties, train teams, and conduct emergency drills.
Essential Qualifications and Abilities
- Bachelor's degree in any discipline.
- A minimum of seven years’ experience in facility management, hospitality, commercial real estate, or related operational roles.
- Excellent communication skills, both written and oral.
- Proficiency in handling crises and resolving conflicts.
- Meticulous with strong analytical and problem-solving aptitude.
- Genuine passion for the organization's vision, products, and brand.
- Expertise in vendor relations, contract negotiation, and service optimization.
- Capability to thrive in a fast-moving, dynamic, and continuous operation environment.
- A proactive, responsible approach with strong ownership mindset.
