Position Overview

This role presents a distinctive opportunity for a highly organized and operationally focused professional to contribute significantly within SHEIN’s global legal division. Despite the title, this Executive Assistant position extends beyond traditional duties, emphasizing legal operations and organizational transformation. It suits candidates possessing meticulous process discipline, strong project management abilities, and a passion for establishing structure and driving efficiency within an expanding international legal team.

Key Responsibilities

  • Partner closely with the General Counsel to develop and implement new operational procedures, workflows, and governance standards for international legal teams, ensuring consistent adoption and ongoing refinement.
  • Support budget oversight alongside finance, manage outside counsel procurement, panel administration, onboarding, and regular reviews.
  • Collaborate with the legal operations team on selecting, deploying, and optimizing legal technology platforms such as matter management, e-billing, and document management systems.
  • Lead cross-departmental legal projects on the General Counsel’s behalf, overseeing timelines, stakeholders, dependencies, and successful delivery.
  • Create and maintain current project plans, dashboards, and reporting tools that provide senior legal leadership visibility into team activities, priorities, legal expenditures, and case statuses.
  • Facilitate seamless coordination among global legal teams, managing communications, scheduling meetings across different time zones, setting agendas, and tracking action items.
  • Organize global legal meetings, town halls, offsite events, and leadership sessions with preparation of comprehensive materials, effective facilitation, and detailed follow-up.
  • Contribute to legal knowledge management by working with legal operations on templates, playbooks, SOPs, guidance documents, and internal repositories to enhance consistency and scalability.
  • Proactively seek improvement opportunities in legal service delivery, operational governance, and team efficiency as SHEIN’s global business grows.

Required Skills and Qualifications

  • Highly organized, detail-focused, and disciplined with the capacity to juggle competing priorities and uphold high standards under pressure.
  • Exceptional communication and stakeholder management, able to translate complex operational needs into clear plans and influence multi-functional teams without hierarchical authority.
  • Strong project and program management expertise handling simultaneous workflows in a dynamic, international context.
  • Adaptability and resilience to thrive in rapidly changing environments, with enthusiasm for instilling structure and order.
  • Discretion, integrity, and professionalism necessary for functioning in senior, trust-based environments.
  • Preferred but not mandatory: experience in legal operations, project management, or similar roles within corporate legal departments or law firms.
  • Fluency in English is essential; proficiency in Mandarin is a notable advantage.
