Position Overview

We are seeking a highly skilled Executive Assistant to provide direct support to the Founder & CEO. This role is pivotal in managing executive priorities including travel, meetings, communications, and daily operational requirements within a fast-paced setting. The position demands excellent judgment, discretion, and the capacity to function independently with frequent travel domestically and internationally, particularly between Washington, DC and Miami, Florida.

Key Responsibilities

  • Manage the Founder & CEO's calendar, appointments, meetings, and daily agenda.
  • Arrange complex domestic and international travel with detailed itineraries covering flights, accommodations, transportation, meetings, and related logistics.
  • Accompany the CEO on business trips as needed for meetings, conferences, and speaking events.
  • Schedule and coordinate meetings with clients, investors, family offices, executives, partners, and other stakeholders.
  • Prepare comprehensive executive briefings including research, schedules, and objectives for key meetings.
  • Oversee confirmations, adjust scheduling, coordinate logistics, and ensure timely follow-ups.
  • Organize and prioritize emails, correspondence, invitations, and incoming requests.
  • Compose professional emails, notes, presentations, and subsequent communications.
  • Conduct research on entities, individuals, family offices, conferences, and potential business opportunities.
  • Coordinate conferences, private meetings, networking events, and speaking engagements.
  • Monitor deadlines, commitments, introductions, action items, and essential follow-ups.
  • Maintain accurate records of contacts, meetings, relationships, and ongoing projects.
  • Represent the executive office professionally in communications when appropriate.
  • Support select personal scheduling and logistical needs.
  • Manage coordination across multiple time zones.
  • Assist with special projects and adapt to evolving company priorities.
  • Handle confidential personal and corporate information with utmost discretion.

Travel and Work Location

This role requires frequent domestic and international travel, including last-minute changes. Candidates must be comfortable traveling extensively and working regularly in Washington, DC and Miami, Florida. This position is not fully remote.

Qualifications and Desired Attributes

  • Bachelor's degree or commensurate professional experience.
  • Prior experience supporting executives, founders, entrepreneurs, senior leaders, private or family offices, consulting firms, diplomatic organizations, or similar environments.
