About the Role
LAC is hiring a polished, highly organized Executive Assistant to partner with three Vice Presidents and Project Partners on the Development team. This is a visible, fast-moving role for someone who can anticipate needs, keep priorities on track, and handle a wide range of administrative and coordination tasks with discretion and sound judgment.
The position works closely with the VPs, their support staff, and a broader group of Executive Assistants across the company. The right candidate will help structure busy schedules, support executive focus, and move critical work forward efficiently. The role also offers meaningful exposure to the development business, including support for deal closings through document coordination, signature management, and notarization support.
This is a headquarters-based position in Santa Monica, CA, with a hybrid schedule requiring four days per week in the office.
Key Responsibilities
- Run complex, frequently changing calendars and scheduling in Microsoft Outlook while balancing multiple priorities.
- Monitor executive inboxes, organize messages, track follow-ups, draft replies, and respond on behalf of executives when appropriate.
- Coordinate electronic and physical signatures for legal and other time-sensitive documents across the organization.
- Work with the other Development team Executive Assistant to support deal closings by managing documentation flow, notarization requirements, and execution timelines.
- Set up internal and external meetings, team gatherings, and other important touchpoints.
- Maintain reports and files, and document meeting notes and follow-up actions.
- Prepare and submit expense reports accurately and within deadlines.
- Book business travel and handle related itineraries, agendas, and logistics.
- Research topics and support special projects as needed.
- Provide backup coverage to the broader Executive Assistant team.
- Help with occasional light personal errands such as travel planning or reservations.
- Use generative AI tools carefully to help draft communications, summarize content, organize information, and improve administrative efficiency while preserving accuracy, judgment, and confidentiality.
- Take on additional duties and special assignments as required.
Requirements
- Excellent attention to detail and the ability to stay on top of deadlines in a fast-paced setting.
- A proactive, problem-solving approach with the ability to anticipate needs in advance.
- Confidence working independently while remaining aligned with executive priorities.
- Strong written and verbal communication skills, including the ability to draft and send emails on behalf of executives.
- Comfort handling executive inboxes with discretion, professionalism, and good judgment.
- Familiarity with or openness to using generative AI tools to improve productivity, organization, and output quality, with careful attention to accuracy and confidentiality.
- A polished, professional manner and strong personal presentation.

- At least 5 years of Executive Assistant experience, ideally supporting senior leaders in finance or another similarly demanding industry.
- Associate's degree required; Bachelor's degree preferred, or an equivalent mix of education and relevant experience.
- California Notary Public commission is a strong advantage; willingness to become a Notary Public is required.
- Advanced proficiency in Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint.
- Background managing calendars, travel, expenses, and document workflows.
- Experience with document execution processes, including legal documents that require signatures and notarization, is strongly preferred.
- Proven ability to handle sensitive information and communicate on behalf of executives with sound judgment and professionalism.
Compensation and Benefits
The expected base salary for this role is $115,000 to $120,000 per year, depending on qualifications and experience. The position is also eligible for a comprehensive benefits package that includes:
