Role Summary
We are seeking a motivated and detail-focused Entry-Level Administrative Professional to join our Operations team. This role suits candidates starting their administrative career who enjoy organizing data, assisting teams, and resolving daily operational challenges to facilitate smooth business functions.
Key Duties
- Provide daily administrative assistance to leaders and cross-functional departments.
- Prepare, edit, and organize business reports, presentations, spreadsheets, and documents.
- Manage accurate digital filing and document storage systems.
- Archive company records with due regard for confidentiality.
- Monitor shared email inboxes and allocate requests appropriately.
- Perform data entry and maintain records across various internal platforms.
- Coordinate internal workflows and administrative procedures.
- Track operational activities and project milestones.
- Assist in creating operational reports using standard templates.
- Monitor progress and follow-up on pending tasks.
- Support onboarding processes for new hires.
- Help maintain standard operating procedures (SOPs) and internal documentation.
- Schedule meetings across multiple time zones, send invites and reminders, prepare agendas, record notes, and distribute action points.
- Facilitate virtual events and team sessions.
- Draft professional emails and announcements; coordinate interdepartmental communications; respond promptly to routine inquiries; support internal knowledge sharing.
- Maintain digital office systems and shared resources; monitor administrative supplies and subscriptions; assist with vendor and travel documentation; ensure efficient administrative workflows.
- Update databases and spreadsheets; compile weekly and monthly administrative reports; verify records for accuracy; generate routine management reports.
- Identify and suggest improvements in administrative workflows; participate in projects to enhance operational efficiency; assist in implementing new tools and procedures.
Qualifications
- Minimum requirement: High school diploma; Associate or Bachelor's degree in Business Administration, Management, Communications, or related fields preferred.
- 0–2 years experience in administrative, office support, customer service roles, internships, or similar.
- Strong organizational and multitasking capabilities.
- Excellent English verbal and written communication skills.
- Exceptional attention to detail and accuracy.
- Ability to prioritize tasks and meet deadlines.
- Comfortable working independently in a fully remote setup.
- Professional demeanor with solid interpersonal skills.
- Eager to learn new systems and administrative methods.
- Preferred: prior internship or administrative support experience; familiarity with remote work; project coordination knowledge; understanding of business communication standards; Arabic language skills beneficial.
