Job description

Role Overview and Responsibilities

The Document Coordinator will implement and oversee the document control system to ensure proper maintenance and regular updates of standard documents. This role includes reporting the progress of document check and release procedures to management and managing the archival of all product quality-related records and specifications in adherence to stipulated guidelines.

The candidate is expected to perform site layout plan modifications using appropriate software, monitor and assist with Environmental Protection License (EPL) and Scheduled Waste License (SWL) renewal processes, and review documents ensuring compliance with current legal and regulatory requirements.

The role also involves comparing design drawings and specifications to identify changes, communicating these amendments to relevant stakeholders, tracking approval and release stages, and maintaining required documentation retention. Further responsibilities include managing Engineering Change Requests (ECRs) with complete updates and supporting audits related to Quality Management System (QMS) and Environmental Management System (EMS).

Candidate Profile and Skills

Applicants should hold a degree or diploma in business administration, quality management, or related fields. A minimum of three years’ experience in quality documentation management or a similar role is required, including document review and control expertise.

Familiarity with auditing standards and tools such as ISO 9001, IATF 16949, and ISO 14001 is essential. Knowledge of quality core tools like 8D, FMEA, APQP, PPAP, and Ishikawa diagrams within Continuous Improvement Processes (CIP) is needed, along with experience using Computer Aided Quality (CAQ) systems.

Proficiency in MS Office, K2 intern, and Outlook software is mandatory. Business-level fluency in English, both spoken and written, is required. The candidate must demonstrate responsibility, accuracy, and reliability in handling data, possess the ability to take initiative and work independently, and exhibit strong teamwork and interpersonal skills.
