About the Role
The Document Controller will oversee the management, regulation, distribution, and archival of project and corporate documents as per established document control standards and protocols. This ensures that all stakeholders have access to accurate and current information, thus facilitating compliance, audit readiness, and smooth project execution across engineering and operational teams.
Key Responsibilities
- Develop, execute, and sustain document control procedures aligned with project and organizational requirements.
- Receive, classify, number, and distribute various documents including drawings, reports, correspondence, and technical records.
- Maintain document logs, metadata, revision histories, and status tracking to preserve document accuracy and traceability.
- Manage document revisions, ensuring only approved versions are circulated, and support approval workflows.
- Ensure adherence to internal standards, client demands, project processes, and quality management systems like ISO.
- Assist in audits by guaranteeing complete, accurate, and accessible records.
- Use Electronic Document Management Systems (e.g., Navex, Unanet), with familiarity in Business Collaborator, SharePoint, Aconex, ProjectWise, or similar tools seen as advantageous.
- Upload, download, and configure document permissions and workflows per project rules, coordinating document transmittals to both internal and external parties.
- Liaise with engineers, designers, project managers, and external stakeholders to ensure timely document submissions and approvals.
- Monitor document processing timelines and pursue resolution of pending reviews or approvals.
- Provide training and assistance to project teams regarding document control best practices.
- Organize filing systems for active and archived documents, ensuring structured records management.
- Manage document handover at project completion, including as-built and final documentation.
- Oversee document retention and disposal in line with records management policies.
Candidate Profile
- Bachelor's degree, preferably in Civil, Electrical, or Mechanical Engineering.
- Three to four years of relevant professional experience.
- Experience with BIM 360/ACC or Business Collaborator/ProjectWise is an added benefit.
- Excellent communication skills to address client inquiries effectively and work collaboratively within teams.
