About the Role

The Community Health Center of Snohomish County (CHC) is seeking a Clinic Coordinator to provide administrative support and oversee daily operations for their School-based Health Center (SBHC). This role involves managing patient registration, scheduling, and serving as the main contact between the school and healthcare partners. The Coordinator will collaborate with the Program Manager and clinical teams to enhance outreach efforts, increasing awareness and utilization of SBHC services among students, families, and school communities. When schools are not in session, the position includes a hybrid remote schedule for project and outreach activities.

Responsibilities

  • Welcome patients, families, partners, and visitors promptly in-person and over the phone, responding courteously and providing accurate information regarding schedules and services.
  • Handle patient check-ins, registrations, and scheduling using the practice management system while adhering to scheduling policies and managing appointment flow.
  • Coordinate with clinical teams concerning walk-ins, cancellations, and delays to ensure efficient patient flow.
  • Assist with monitoring vaccine equipment conditions and conduct vaccine audits to maintain accurate records.
  • Engage in outreach efforts promoting SBHC services to students, families, school staff, and the broader school community.
  • Act as the primary contact for referrals and inquiries from students, families, healthcare agencies, and community services.
  • Support and coordinate basic health education and promotional activities under supervisory direction.
  • Maintain collaborative relationships with referring agencies and serve as an informational resource.
  • Coordinate data collection for reports, audits, and quality reviews as required.
  • Manage filing, document routing, mail distribution, and insurance eligibility verification processes.
  • Arrange interpreter services and liaise with external organizations regarding patient needs.
  • Open and close the clinic during business hours and maintain inventory of office, medical, dental supplies, and clinical forms.
  • Perform routine maintenance and troubleshooting on office equipment such as calculators, copiers, fax machines, and printers.
  • Provide support to other departments and clinic locations as needed.
  • Collaborate with CHC medical and dental staff to ensure adequate staffing at SBHC sites.
  • Maintain consistent attendance to support daily operations and continuity of patient care.

Knowledge, Skills, and Abilities

  • Fluent reading, writing, and speaking skills in English.
  • Ability to work independently and take initiative.
  • Effective team collaboration skills.
  • Basic leadership and organizational capabilities to manage multiple priorities.
  • Creative problem-solving skills.
  • Proficiency in operating multi-line telephone systems and typical office machinery.
  • Skilled in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Familiarity with medical terminology.
  • Adept at establishing positive interpersonal connections with students, families, school personnel, and diverse community members.
  • Excellent verbal communication and customer service abilities.
  • Preferred: proficiency in a second language with a financial incentive for testing proficiently.

Education and Experience

  • Minimum: High school diploma or equivalent.
  • Preferred: Associate or Bachelor's degree in a healthcare-related field, or at least two years of healthcare experience.
  • One year experience working with Electronic Health Records (EHR) or Electronic Practice Management Systems.
  • At least one year of experience serving low-income or diverse populations.
