Role Overview
This position is for an Assistant Manager or Manager in the HR & Admin business unit at Sun Pharma’s Gurgaon facility, mapped to job grade G11A. The role focuses on end-to-end facility administration and support services, ensuring smooth daily operations across multiple functions.
What the Role Covers
- Keep cafeteria operations running efficiently, including oversight of kitchen, dining, and storage cleanliness.
- Maintain food quality, taste, presentation, and hygiene standards in line with food safety expectations.
- Address employee-related issues in the cafeteria environment and help resolve conflicts.
- Coordinate vendor orders, supplier communication, and invoice processing.
- Prepare basic cost statements, consumption data, and MIS reports.
- Handle soft services across the site and make sure service delivery meets agreed scope and service levels.
- Monitor housekeeping in offices, common areas, washrooms, and pantries so cleanliness standards stay consistently high.
- Ensure compliance with company policies, legal/statutory obligations, and timely vendor contract renewals.
- Oversee physical and electronic security for the facility, including guard deployment and supervisor coordination.
- Control access at entry and exit points and monitor patrolling, gate movement, and perimeter security.
- Supervise CCTV systems and access control tools such as cards and biometric devices.
- Ensure alarm systems and sensors work properly, and coordinate maintenance or upgrades when needed.
- Respond to incidents such as theft, trespassing, or emergencies, including investigation support and incident report preparation.
- Manage waste segregation for wet, dry, hazardous, and recyclable waste streams.
- Oversee waste collection, disposal, and removal from all areas on time.
- Identify scrap materials such as paper, plastic, and metal, and manage their safe storage and handling.
- Support scrap disposal or sale activities and coordinate with waste agencies and scrap vendors as assigned by the commercial team.
- Supervise pest control activities and ensure treatment coverage for insects, rodents, and other pests.
- Monitor sensitive zones such as cafeterias, pantries, washrooms, and waste areas, and recommend preventive actions based on root-cause findings.
- Coordinate with pest control vendors to ensure the agreed schedule and scope are followed.
- Oversee horticulture upkeep, including lawns, trees, shrubs, and plants.
- Track watering, pruning, trimming, mowing, and general upkeep of green spaces.
- Support landscaping planning and development across the facility.
- Ensure vendors deliver to SLA standards and validate completed work, invoices, and reports.
- Manage the medical room, mailroom operations, courier movement, and invoice processing for courier services.
- Ensure medical emergencies and evacuations are managed quickly and appropriately.
- Procure stationery and other administrative supplies based on stakeholder requests.
- Plan and coordinate events, health check-up camps, festival celebrations, and other engagement activities as directed by management.
- Process invoices and purchase orders/service orders for requests received from departments.
- Provide inputs for department Opex and Capex budgets when required.
Competencies Required
- Ability to run cafeteria operations with strong attention to hygiene, food quality, and service standards.
- Vendor coordination skills for ordering, procurement follow-up, and invoice handling.
- Capability to manage housekeeping and soft services across a large facility.
- Understanding of company policy adherence, legal compliance, and vendor contract management.
- Working knowledge of physical and electronic security systems, including CCTV and access control.
- Experience handling security events, investigations, and formal reporting.
- Familiarity with waste management and scrap handling processes.
- Ability to coordinate pest control and preventive maintenance actions.
- Experience supporting horticulture and landscaping upkeep.
- Ability to manage mailroom operations, medical room readiness, and administrative support tasks.
- Skills in organizing employee engagement activities and health initiatives.
- Knowledge of invoice, PO/SO processing, and budget support.
