Role Overview

As an Admissions Specialist, you will serve as the initial contact for individuals beginning their journey to recovery. You will engage empathetically and efficiently with prospective patients and their families during challenging moments, assess their need for treatment, and connect them with the most appropriate rehabilitation programs.

Key Responsibilities

  • Comprehensively understand Caron's full continuum of care, conduct admission assessments, and attempt to convert inquiries into scheduled admissions or direct callers to fitting care options.
  • Identify patients requiring clinical screening before admission scheduling and coordinate with the Admissions Clinical Specialist by gathering necessary screening information.
  • Provide referrals to external interventionists or case management services as necessary.
  • Conduct advanced financial discussions, verifying benefits and handling all financial aspects including insurance coverage (in-network, out-of-network, single case agreements), out-of-pocket costs, and medical necessity determinations. Ensure payment is secured and communicate special arrangements to leadership while maintaining compliance with financial assistance policies.
  • Identify and maintain communication with all key stakeholders such as internal and external referrals, donors, alumni, and treatment providers throughout pre-admissions.
  • Manage assigned cases from initial contact through arrival for admission, maintaining accurate documentation and case notes as per Caron's policies.
  • Greet patients, families, referral sources, and visitors; conduct tours as needed and support physical admission processes when required.
  • Support departmental reporting, quality standards, and data provision to leadership as assigned.
  • Use communication tools including phone software, Microsoft Teams, and Outlook to maximize engagement.
  • Provide coverage for live chat, shared admissions inbox, and online form communications.
  • Assist in training new staff members and updating training materials.
  • May cover the receptionist desk and manage crisis calls utilizing available resources.

Physical and Work Environment Requirements

  • Communicate effectively both orally and in writing for the majority of the workday.
  • Remain seated approximately 90% of the time and type for 85% of the workday.
  • Walk campus grounds for tours, including stair and uneven surface navigation.
  • Travel to the campus during inclement weather as necessary.
