Employing a multidisciplinary strategy, the organization operates centers in Morocco, Central Asia, and the Arabian Peninsula to integrate fundamental and applied research for restoring and protecting these populations.
Role Overview
The organization is expanding its conservation initiatives and is looking to add a skilled Administrative Assistant to facilitate the smooth operation of senior management tasks. This position is pivotal for managing communication, documentation, meetings, and coordination with various stakeholders both internally and externally.
Key Responsibilities
- Offer comprehensive administrative assistance to the Executive Secretary and support senior leadership activities.
- Prepare a variety of documentation including correspondence, reports, presentations, and other administrative records.
- Manage the processes of document review, approval, signature collection, filing, and archive management.
- Arrange meetings by setting agendas, documenting minutes, and ensuring follow-up on deliverables.
- Track administrative deadlines and requests to guarantee timely completion.
- Coordinate communication and administrative tasks across internal departments and external parties.
- Support regulatory and logistical procedures such as permits, shipment documentation, and customs clearances.
- Handle creation and monitoring of Local Purchase Orders and related administrative paperwork.
- Organize travel logistics, including accommodations, transportation, and visitor coordination.
- Assist in planning official visits, meetings, and corporate events.
- Provide reception assistance and visitor support when needed.
- Maintain strict confidentiality and exercise discretion regarding sensitive information.
Candidate Requirements
- Bachelor's degree in Business Administration, Office Management, or closely related fields.
- 3 to 5 years of proven experience in administrative roles, office coordination, or executive assistance.
- Proficiency in document management, meeting and travel planning, and stakeholder engagement.
- Excellent organizational abilities with a strong focus on detail and multitasking capabilities.
- Effective communication and interpersonal skills.
- Demonstrated professionalism in managing confidential data.
- Fluency in both Arabic and English is mandatory; knowledge of French is an asset.
- Skilled in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Experience with document management systems will be advantageous.
