Role Overview
The Talent Operations Specialist position plays a critical role in managing the full employee lifecycle, focusing especially on onboarding, documentation, and talent-related reporting. This role ensures new hires have a well-organized and professional onboarding experience and supports the delivery and management of the performance evaluation process. Collaboration with employees, managers, HR, and department heads is essential to coordinate onboarding, maintain precise employee records, monitor probation and performance review cycles, and complete all talent management processes consistently and timely.
Key Responsibilities
- Organize and oversee the entire onboarding experience from acceptance of offer through probation completion.
- Prepare onboarding materials such as schedules, welcome packages, documentation, induction content, and internal notifications.
- Liaise with IT, Administration, Finance, and other relevant teams to ensure all necessary resources—including system access, workstations, and equipment—are prepared before a new hire's start date.
- Facilitate or arrange orientation sessions covering company policies, procedures, organization structure, benefits, and workplace norms.
- Ensure completion and proper filing of all employment documents, forms, and approvals.
- Arrange introductory meetings, departmental inductions, training sessions, and stakeholder engagement for new employees.
- Track onboarding progress through scheduled follow-ups with new hires and their managers.
- Gather feedback from onboarded employees to improve the onboarding experience and internal processes.
- Maintain detailed onboarding checklists, trackers, employee files, and completion records.
- Manage probation period tracking, including confirmation dates, notifications, and documentation coordination.
- Exclusive follow-up with managers to guarantee timely probation assessments and handle confirmation, extensions, or terminations according to policy.
- Support performance management cycles—annual, mid-year, quarterly, and probationary—by scheduling, tracking, and communicating relevant procedures and documentation requirements.
- Review and validate performance evaluations for consistency, completeness, and adequate substantiations.
- Keep comprehensive records of employee objectives, KPIs, development plans, performance ratings, and review outcomes while maintaining confidentiality.
- Prepare reports and dashboards related to onboarding status, probation progress, and performance review completion.
- Support calibration meetings by compiling relevant employee and performance data to guide decision-making.
- Maintain accurate employee lifecycle records covering milestones such as hiring, probation, promotions, transfers, contract renewals, and exits.
- Ensure compliance with HR policies across all talent-related activities and assist in updating HR materials and procedures.
- Respond professionally to employee and managerial inquiries concerning onboarding, probation, performance, and HR documentation.
Candidate Requirements
- Bachelor's degree in Human Resources, Business Administration, Management, or related discipline.
- Between 3 to 5 years of solid experience in HR or talent operations, employee onboarding, and performance management.
- Proficient in coordinating employee onboarding and probation review processes.
- Well-versed in performance appraisal cycles, KPI monitoring, employee objectives, and document management.
- Experience managing HR records, trackers, and producing management-ready reports.
- Exceptional organizational skills, keen attention to detail, and ability to handle multiple deadlines.
- Excellent written and verbal communication abilities, capable of engaging professionally with various stakeholders.
- Strong confidentiality practices and discretion in handling sensitive employee information.
- Skilled in Microsoft Excel, PowerPoint, Word, and HR management software tools.
- Familiarity with local UAE employment regulations is preferred.
