Role overview

Huntsville Memorial Hospital is looking for a Registrar to work Monday through Friday from 6:30 a.m. to 3:00 p.m. In this role, you will be the first contact for patients and providers by phone and in person, and you will help keep registration, scheduling, insurance, and financial information accurate and complete. The position supports smooth patient flow, safe patient identification, timely document handoff to clinical teams, and dependable revenue-cycle operations.

Key duties

  • Handle patient registration and scheduling using established processes while keeping the clinical record accurate and complete, including patient, subscriber, guarantor, and physician details.
  • Check registrations each day for quality, accuracy, productivity, and collection targets, and correct any errors before close of business.
  • Review upcoming appointments three days in advance to confirm insurance eligibility, documentation, referrals, and authorizations, and notify patients of any amount due at the time of service.
  • Reschedule patients within 24 hours when insurance pre-certification or authorization requirements are not satisfied.
  • Support patient safety by ensuring every patient is properly identified and arm-banded before registration is finished.
  • Complete check-in steps that electronically record arrival and handoff times, including compliance with EMTALA requirements in the Emergency Room and for ER OB patients.
  • Help patients enroll in and use the Patient Portal to support Meaningful Use compliance.
  • Record information carefully, flag accounts for past-due balances, demographic corrections, and other important alerts when needed.
  • Use payer websites or eligibility systems to verify benefits, assign insurance plans correctly, and complete required pre-certification or authorization steps at the time of service.
  • Discuss coordination of benefits with patients, confirm the primary payer, document the order of payers, and complete Medicare Secondary Payer Questionnaire steps when traditional Medicare is involved.
  • Explain registration forms clearly, obtain required signatures, and follow applicable state and federal guidelines.
  • Perform Medicare medical necessity checks for outpatient diagnostic services and communicate ABN information to patients when services do not pass screening.
  • Calculate the patient portion and collect co-pays, self-pay balances, and overdue patient amounts at check-in, with remaining collections handled at discharge.
  • Maintain the cash drawer according to procedure and help with daily cash reconciliation and deposit tasks as assigned.
  • Follow the hospital’s Legal Compliance Code of Conduct, protect patient confidentiality, and handle PHI appropriately.
  • Keep the work area safe, report hazards properly, and carry out other related duties as assigned.

Requirements

  • High school diploma or GED is required.
  • Previous experience in a hospital or physician practice is preferred.
  • Strong computer ability is needed.
  • Good verbal and written communication skills are required.
  • Customer service skills are important for this position.
  • Work is primarily indoors in a comfortable, well-ventilated environment.
  • Frequent sitting and reaching are expected.
  • Occasional standing, walking, lifting, carrying, and pushing may be needed.
  • Good vision and hearing are required.
  • Possible exposure includes cleaning chemicals, communicable illnesses, and blood-borne pathogens.

Benefits

  • Medical, dental, and vision coverage
  • 401(k) and IRA retirement options
  • Basic, voluntary, and AD&D life insurance
  • Paid time off
  • Short-term and long-term disability coverage
  • Training and development opportunities
  • Wellness resources
