Role Overview
The Reception & Facilities Coordinator will manage daily operations of the Trivandrum office located within the Infosys campus. Acting as the central liaison for campus teams and the Kochi in-tech office, the coordinator oversees goods receipt, employee access controls, reception duties, vendor and building coordination, office supplies management, and infrastructure maintenance to ensure a secure and productive workplace.
Key Responsibilities
- Manage and streamline daily facility operations at the Trivandrum office to support employees and business activities.
- Serve as the primary contact for security, finance, facilities, and customs clearance teams on campus.
- Coordinate with in-tech's Kochi departments to fulfill onsite operational requirements.
- Supervise goods-inward processes ensuring prompt and correct handling of materials.
- Monitor compliance with operating procedures related to maintenance and office functions.
- Facilitate employee ingress and egress via security and access protocols.
- Collaborate with internal stakeholders, external vendors, and service providers to maintain smooth facility services.
- Assist in monitoring workplace infrastructure and equipment to uphold safety and efficiency.
- Track facility service requests and maintenance actions to guarantee timely completion.
- Maintain inventory of office supplies and provide front desk support as needed.
Essential Qualifications and Experience
- A bachelor’s degree or diploma in Facilities Management, Administration, Hospitality, or a related discipline.
- 1 to 3 years of relevant experience in facilities management, administrative operations, workplace services, or office management.
- Basic knowledge of workplace safety standards, compliance, and emergency preparedness.
- Experience with reception or front office responsibilities is advantageous.
- Familiarity with vendor management and facility maintenance procedures.
- Strong interpersonal skills for stakeholder coordination and communication.
- Proficient verbal and written communication capabilities.
- Well-developed organizational skills, the ability to multitask, and keen attention to detail.
- Competency in Microsoft Office tools including Word, Excel, PowerPoint, and Outlook.
- Ability to collaborate effectively with cross-functional teams and external partners within a fast-paced environment.
