Role Purpose

This position addresses the need for clear ownership of order fulfillment once a contract is secured. The role serves as the central coordinator linking customers and suppliers, managing approximately 60 active purchase orders simultaneously. The incumbent ensures smooth operations, preventing escalation to senior leadership by proactively managing milestones and communications.

Key Duties and Responsibilities

• Maintain operational relationships with customers, acting as their main contact for production-related concerns, scheduling monthly operational check-ins, managing shipment communications, resolving issues with proactive recovery strategies, and handling documentation, certifications, sample shipments, quality feedback, inventory forecasting, and payment reminders.
• Review incoming customer purchase orders to verify adherence to quoted prices, quantities, revisions, and timelines; escalate discrepancies and identify sensitive defense-related documentation for export compliance screening.
• Manage and communicate production schedules and shipping deadlines, ensuring supplier adherence to commitments, expediting deliveries, and coordinating transition of newly developed parts from engineering oversight to operational ownership.
• Engage with suppliers to enforce delivery schedules, challenge unwarranted cost or timeline alterations, and raise early warnings for recurring supplier issues through concise, documented inquiries with response deadlines.
• Oversee logistics including freight mode decisions (within policy limits), bookings with freight forwarders, preparation and verification of shipping documents, tariff classification (HTS codes), customs coordination, and reconciling shipping invoices with contractual quotes.
• Conduct rigorous verification processes such as cross-checking invoices against purchase orders and shipment records, scrutinizing packing lists, and implementing preventive quality assurance measures based on prior experience.
• Monitor accounts payable and receivable by validating supplier invoices before payment, tracking outstanding payments weekly, pursuing unpaid invoices, and escalating overdue issues to account managers after 30 days.
• Lead and mentor the Philippines-based operations specialist, manage bi-weekly coordination meetings with China suppliers and quality inspectors, and oversee the weekly review of orders and shipments, ensuring prompt resolution of action items.

Operational Authority

Within established guidelines, the role authorizes routine decisions related to shipping methods, supplier schedule adjustments, cost changes, and re-shipments, while proposals exceeding limits are escalated with recommendations.

Working Hours and Requirements

The position requires core business hours aligned with the US timezone and an additional one-to-two hour evening shift Sunday through Thursday to coordinate with suppliers in China, Taiwan, and India. Availability for this schedule is mandatory and will be verified during the recruitment process.
