Role Summary
This full-time onsite position based in Perth, Western Australia involves coordinating various aspects of manufacturing operations and procurement within a pharmaceutical environment. The coordinator will support order management, procurement, inventory control, logistics, supplier engagement, and operational documentation while ensuring compliance with company policies and pharmaceutical quality standards.
Key Duties and Responsibilities
- Manage customer orders by reviewing and accurately capturing details, maintaining thorough documentation through company systems.
- Prepare and issue customer invoices post-manufacturing and order fulfillment activities.
- Handle customer communications, provide timely updates on order status and delivery, and address queries professionally.
- Prepare quotations, coordinate their approval, and maintain strong customer relationships through responsive support.
- Oversee shipping logistics for domestic and international deliveries coordinating with courier providers such as FedEx and ensuring compliance with shipping documentation standards.
- Coordinate procurement activities, monitor and reconcile inventory levels, source suppliers, generate purchase orders, and verify goods upon receipt.
- Manage relationships with suppliers, equipment manufacturers, and service providers including scheduling maintenance and waste disposal in compliance with regulations.
- Maintain accurate operational, procurement, shipping, and inventory records in multiple digital platforms and support ongoing quality and compliance efforts.
- Support audit processes, identify improvements for operational workflows and documentation systems.
Required Qualifications and Experience
- Certificate, Diploma, or Bachelor’s degree in Science, Pharmaceutical Science, Operations Management, or related fields preferred.
- Experience in operations coordination, procurement or supply chain within pharmaceutical, biotechnology, laboratory or regulated manufacturing sectors advantageous.
- Familiarity with supplier relationship management, ERP, inventory control, and document management systems is desirable.
- Understanding of Good Manufacturing Practice (GMP) principles and documentation standards is a plus.
Skills and Competencies
- Excellent organizational abilities to juggle multiple priorities efficiently.
- High attention to detail ensuring accuracy in documentation and coordination.
- Strong communication skills for effective collaboration with customers, suppliers, and internal teams.
- Proactive problem-solving skills and ability to operate independently and as part of a multidisciplinary team.
- Proficient with Microsoft Office suite and ideally with SharePoint and ERP software.
- Ability to maintain confidentiality and handle sensitive commercial information responsibly.
