Job description

Role Overview

Join the vibrant Workplace & Facilities Management (WFM) team within the Workplace and Organisation Development (WOD) Division. This division drives organisational initiatives to reinforce IMDA's corporate atmosphere, identity, and culture, supporting its ongoing transformation and growth to meet mission objectives.

Key Responsibilities

  • Develop and manage operational and administrative policies, procedures, and communications for daily office functions, focusing on enhancing employee experience and ensuring compliance with regulatory standards and best practices.
  • Assist in procuring corporate goods and services by managing purchase requests, liaising with vendors, and overseeing procurement operations to ensure timely and compliant acquisitions.
  • Manage daily corporate and registry services to facilitate smooth organizational operations, including administration of shared resources like meeting rooms, staff exit clearance processing, business card handling, dissemination of official circulars, and mailroom support for physical record retrieval and returns.
  • Undertake additional administrative projects and duties as assigned.
  • Enhance the agency's information management by implementing and refining governance frameworks, systems, and processes for records management, ensuring effective lifecycle handling of both physical and digital records compliant with legislation and government policies.
  • Design and continually improve records management systems using service design principles, including classification and declassification, retention policies, and filing organization, advocating for organizational adoption through stakeholder engagement and advisory support.
  • Maintain the records management system by performing standard administrative tasks such as SOP reviews, records appraisals, regular audits and housekeeping, managing file plans, subscriptions, and safeguarding records throughout their lifecycle.
  • Innovate and modernize records management approaches by evaluating current processes and infrastructure, proposing solutions like digitization and RM chatbots that provide user-friendly and efficient records handling experiences.

Candidate Profile

  • A tertiary qualification combined with a minimum of five years’ relevant experience in knowledge or records management or related areas.
  • Proven expertise in service design thinking techniques including journey mapping, user research, and process improvement to enhance service delivery and user experience.
  • A strong interest in employee experience with the ability to craft intuitive and accessible administrative and information services that contribute to a positive workplace environment.
  • Excellent project and stakeholder management capabilities, managing multiple priorities and navigating complex stakeholder relationships to drive initiatives from start to finish effectively.
  • Strong communication and interpersonal skills for engaging senior management and influencing positive outcomes amidst conflicting stakeholder interests.
  • A proactive, opportunity-seeking attitude with well-developed writing and presentation abilities.
  • Capable of multitasking efficiently in a dynamic setting with a flexible approach to rapidly shifting priorities.
  • An enthusiastic, resilient, and creative individual with a solid track record as both an individual contributor and a cooperative team member.
