Role Overview

As Head of Operations, you will be the central figure driving organizational coordination at Devoted Studios. You will translate the CEO's vision for scaling the company into actionable plans crossing all departments—defining timelines, securing alignment with department leaders, ensuring commitment adherence, and proactively reporting progress without prompt.

Your scope will cover international expansion and compliance, tooling and infrastructure programs, design of operational policies, and leveraging AI-driven process improvements. You will directly lead foundational departments: Team Success (HR), IT, and Recruitment.

This senior leadership position calls for a driven and methodical operator comfortable managing rapid growth and complexity, reporting directly to the CEO. Your mission is to maintain operational momentum with speed, discipline, and robust infrastructure.

Primary Responsibilities

  • Take full ownership of cross-departmental initiatives initiated by the CEO, setting clear objectives, timelines, and success measures to ensure timely delivery.
  • Steer multi-department operational projects including international expansion, compliance matters, insurance and benefits administration, IT and infrastructure developments, new office setups, policy formulation, and AI adoption programs.
  • Collaborate with leadership across Production, Finance, Legal, Business Development, Team Success, IT, and Recruitment to synchronize priorities and fulfill shared goals.
  • Maintain proactive and transparent reporting systems covering project status, decision requirements, and upcoming milestones.
  • Lead the Team Success, IT, and Recruitment teams directly, providing clear direction, nurturing leadership, and fostering a performance-oriented culture.
  • Define and monitor operational KPIs for these functions, ensuring appropriate staffing, scalability, and integration with company processes.
  • Support Team Success in cultivating a strong organizational culture, enhancing engagement, managing team lifecycles, and deploying performance frameworks.
  • Guide IT in delivering dependable infrastructure, cybersecurity, hardware/software provisioning, and scalable support services.
  • Oversee Recruitment in achieving company-wide hiring objectives with a focus on candidate experience and swift processes.
  • Manage operational governance and international compliance regarding employment structures, contractor arrangements, tax, and legal frameworks across all operational geographies.
  • Work with Legal, Finance, and Team Success to guarantee all operational procedures meet legal, security, and compliance standards worldwide.
  • Plan and implement new operational setups anticipating company growth—covering new territories, employment forms, and office locations.
  • Manage the company's operational systems, including KPI dashboards, reporting cadences, quarterly business reviews, and execution rhythms that enable scalability.
  • Drive the completion of quarterly commitments and cross-team priorities among leadership.
  • Champion the integration and thoughtful adoption of AI technologies in operations, such as in hiring, IT support, compliance automation, reporting, and knowledge management.
  • Assess new AI tools to reduce operational workload and empower higher-value efforts, collaborating closely with technical leadership on implementation.
  • Demonstrate AI-positive operational habits to the team, promoting experimentation and curiosity.

Candidate Requirements

  • 8 to 15 years of leadership experience in operational roles within service companies, co-development, or growth-stage technology firms.
  • Proven success in managing large-scale cross-functional programs with a strong emphasis on delivering results under tight timelines and pressures.
  • Experience managing Team Success (HR), IT, and Recruitment departments or subsets thereof, with direct people management responsibility.
  • Strong collaboration skills across Legal, Finance, HR, IT, and Production teams on comprehensive projects.
  • Solid background in international operations including understanding employment, contractor compliance, and multi-national frameworks.
  • Technologically savvy with active adoption and promotion of AI tools in operational workflows.
  • Skilled in operational reporting and maintaining clear executive communication.
  • Comfortable operating in fast-moving, high-growth service sectors where impactful, real-world work is valued.
