Position Overview
The Events Associate will act as a project manager coordinating multiple client events from initiation to completion, collaborating with internal teams, clients, vendors, hotels, and speakers to ensure timelines, budgets, and quality standards are met or exceeded. This role reports to the Vice President of Meetings & Events and involves supporting a variety of event formats including in-person, hybrid, and virtual meetings, workshops, webinars, and conferences.
Key Responsibilities
- Manage simultaneous event projects by creating and maintaining detailed project plans, timelines, and task lists using project management tools such as Asana.
- Coordinate cross-functional teams, conduct project meetings, track progress, identify potential risks, and propose preemptive solutions to keep projects on schedule and of high quality.
- Handle event logistics including venue coordination, catering, audiovisual needs, transportation, registration systems, speaker arrangements, onsite materials management, and VIP accommodations.
- Facilitate strong client relationships through responsive communication and regular updates, ensuring clear expectations and satisfaction.
- Craft event communications such as invitations, newsletters, participant emails, and speaker correspondence to foster engagement and a seamless attendee experience.
- Support social media content creation and community engagement aligned with client goals.
- Assist with budgeting tasks including expense tracking, invoice processing, and financial reconciliation.
- Provide onsite event support, including customer service and logistics management, occasionally requiring evening and weekend work.
- Maintain organized documentation, including reports and post-event evaluations, and contribute to additional organizational projects as needed.
Qualifications
- Bachelor's degree or equivalent professional experience.
- Two to five years’ experience managing events, conferences, or meetings.
- Proven skills in project management, multitasking, organization, and time management.
- Excellent written and verbal communication capabilities with keen attention to detail.
- Strong customer service aptitude and effective relationship-building skills.
- Problem-solving mindset with the ability to anticipate challenges and develop practical solutions independently and collaboratively.
- Willingness to learn new technologies and improve existing processes in a dynamic work environment.
- Preferred credentials include progress toward or possession of a Certified Meeting Professional (CMP) designation.
- Experience serving nonprofit, educational, association, or philanthropic sectors is advantageous.
- Familiarity with event budgeting and financial processes preferred.
Technical Proficiencies
- Proficiency or ability to quickly learn Microsoft Office Suite, especially Excel, PowerPoint, and Word.
- Experience with Google Workspace applications.
- Familiarity with project management platforms such as Asana, Monday.com, or Trello.
- Competence with event registration tools like Swoogo, Cvent, or Eventbrite.
- Facility in virtual meeting software including Zoom.
- Use of event apps, Canva, CRM/database systems, and email marketing platforms such as Mailchimp or Constant Contact.
- Comfort using AI productivity tools such as ChatGPT, Microsoft Copilot, or Google Gemini.
Physical and Work Requirements
- Ability to sit and work at a desk for extended periods.
- Capacity to stand and walk for long durations during events.
- Capability to lift items weighing up to 25 pounds occasionally.
- Flexibility to work evenings and weekends according to event schedules.
Additional Information
This full-time, remote role includes approximately 15-25% travel throughout the U.S. for conferences, client meetings, and site visits.
