Role Overview
We are seeking a motivated and detail-focused Entry-Level Administrative Professional to join our Operations team. This position suits individuals starting their career in administration who enjoy organizing data, assisting teams, resolving day-to-day operational issues, and ensuring smooth business functions.
Primary Responsibilities
- Deliver daily administrative support to managers and cross-functional groups.
- Create, edit, format, and organize business documents, reports, presentations, and spreadsheets.
- Manage precise digital filing systems and documentation archives, safeguarding confidentiality.
- Monitor shared inboxes to direct requests efficiently to relevant team members.
- Support data entry tasks and maintain records across internal systems.
- Coordinate internal administrative workflows and operational processes.
- Track and assist with operational tasks and project milestones, preparing reports using company formats.
- Follow up on pending tasks, support onboarding activities, and help maintain standard operating procedures and internal documentation.
- Arrange meetings across various time zones, send invites and reminders, prepare agendas and materials, record notes, and distribute action items.
- Participate in coordinating virtual events and internal team sessions.
- Draft and manage professional emails and announcements; facilitate interdepartmental communication and respond promptly to routine inquiries.
- Maintain digital office systems and shared resources, track supplies and subscriptions, assist vendor documentation, and support travel and expense records.
- Update databases and spreadsheets, compile regular administrative reports, perform quality checks on records, and create management reports.
- Identify and recommend improvements in administrative workflows, contribute to projects enhancing operational efficiency, and help implement new administrative tools and procedures.
Required Qualifications
- Minimum high school diploma; preference given to candidates with Associate's or Bachelor's degrees in Business Administration, Management, Communications, or related fields.
- Between 0 to 2 years of experience in administrative roles, office support, customer service, internships, or similar positions.
- Strong organizational capabilities, multitasking skills, and a keen eye for detail.
- Proficient verbal and written communication skills in English.
- Ability to manage priorities effectively and meet deadlines.
- Comfortable working independently in a fully remote environment.
- Professional demeanor with excellent interpersonal skills and willingness to learn new systems and administrative procedures.
Preferred Qualifications
- Previous internship or administrative support experience.
- Experience working remotely or within virtual teams.
- Familiarity with project coordination.
- Understanding of business communication standards.
- Arabic language proficiency is advantageous.
Technical Competencies
- Experience or familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proficiency in Google Workspace (Docs, Sheets, Slides, Drive, Calendar).
- Comfortable using video conferencing tools (Zoom, Microsoft Teams, Google Meet).
- Knowledge of collaboration platforms such as Slack or equivalents.
- Experience with task management software like Asana, Trello, ClickUp, or Monday.com.
- Understanding of cloud document management systems.
