Role Overview
The Contract Administration Manager will be responsible for overseeing the daily operations of the contract management department. This role includes establishing scalable processes and controls while ensuring lease and loan contracts are administered accurately, timely, and in compliance with company standards. The manager will lead the team to maintain operational excellence and foster continuous improvements in contract management practices.
Key Responsibilities
- Lead the contract management team, managing workload distribution, service quality, and departmental performance.
- Develop and mentor team members through clear expectations, training, and ongoing performance feedback.
- Ensure accurate onboarding and administration of lease and loan contracts, complying with internal controls and audit standards.
- Supervise cash applications, reconciliations, pass-through payments, and related portfolio servicing activities adhering to accounting and corporate policies.
- Handle complex account reconciliations, suspense item resolutions, and pass-through payment processes.
- Create and sustain documented, scalable procedures and workflows within the department.
- Monitor and analyze department metrics and operational trends to identify risks and recommend process enhancements.
- Serve as the key contact for escalated contract issues, complex customer or program requirements, and interdepartmental initiatives.
- Lead efforts in process improvements, system upgrades, reporting, and special projects to boost accuracy and operational scalability.
- Ensure optimal use and enhancement of Aspire and associated business applications to maintain data integrity and promote user adoption.

Experience and Skills Requirements
- Minimum of 5 years experience in equipment leasing, commercial finance, contract administration, or a related operations area.
- Previous experience in leadership or departmental supervisory roles.
- Deep understanding of lease and loan booking processes, contract management, cash applications, reconciliations, pass-through reporting, and portfolio servicing.
- Proficient with Aspire (LTI lease/loan accounting system) or comparable lease accounting and servicing software.
- Proven capability to develop, document, and optimize operational workflows, controls, and reporting methodologies.
- Exceptional attention to detail and strong analytical skills, able to manage complex, high-volume tasks with competing demands.
- Excellent verbal and written communication skills, effective in collaborating across divisions within the organization.
- Advanced Microsoft Excel skills and comfortable working with various business systems, reporting tools, and metrics-driven operations.
