About the Organisation
Caulfield Grammar School is a globally respected independent co-educational school delivering learning from Early Learning to Year 12. With more than 3,700 students spread across five campuses, along with Student Experience Programs in Yarra Junction and Kakadu, the school is focused on creating innovative specialist learning experiences that support every learner, every day, and for life.
About the Role
This position offers a distinctive chance to help protect and shape the school’s ongoing history. The school is looking for someone who is comfortable using technology and digital tools, thinks creatively, and has strong project management ability. The role involves deciding what materials should be conserved, digitised, and highlighted so that future generations can still access the stories, achievements, memories, and items that define the school’s journey.
Beyond traditional archival work, the successful person will act as a curator and storyteller, working with students, staff, alumni, and the wider community. The role includes attending school events, identifying valuable historical items, and presenting the school’s heritage in engaging ways. With the school approaching its 150-year celebrations, this role will be central to documenting and showcasing an important milestone in its history.
Key Responsibilities
- Oversee and develop the school’s heritage collection, covering both physical records and digital archive materials.
- Use archival resources and historical research to assist school events, alumni activities, philanthropy work, and teaching initiatives.
- Plan and coordinate the digitisation, indexing, and long-term preservation of archival items according to recognised best practice.
- Maintain electronic records, retrieval workflows, and archival systems while meeting retention and compliance obligations.
- Build archive visibility and participation across the school through displays, publications, social media activity, and volunteer support.
- Demonstrate and uphold the school’s values and expected behaviours in daily work.
Requirements
- A relevant tertiary qualification in archives, library studies, records management, history, museum studies, education, or a similar field.
- Prior experience managing archival or heritage collections, including digital archives and digitisation platforms.
- Strong understanding of records management, retention requirements, and archival best practice, along with excellent catalogue and organisation skills.
- Strong written and verbal communication skills, plus the ability to engage effectively with staff, students, alumni, and volunteers, and a commitment to ongoing learning and improvement.
- Either hold, or be prepared to obtain, an Employment Working with Children Check.
Why Join
- Competitive remuneration with 13% superannuation.
- Ongoing professional development and learning opportunities.
- Access to modern facilities and innovative resources.
- Support for year-round health, wellbeing, and work-life balance.
- Employee Assistance Program for confidential support.
- Exclusive staff benefits through the BENY benefits app.
- Access to ISV resources and professional networks.
- Flexible hybrid working arrangements.
