Administrator - Production

About the Role

This position involves comprehensive administrative responsibilities within production operations at Mezzan Foods, a leading FMCG company known for its KITCO snack brand across the Middle East. The role focuses on monitoring purchase orders, maintaining costing and inventory records, and supporting production planning and reporting through SAP and Excel tools.

Key Duties and Responsibilities

• Review and manage all types of purchase orders using SAP, including local, import, non-stock, asset, and service orders.
• Perform finished goods costing calculations and update cost runs via SAP and Excel.
• Analyze sales pricing and margins for current and new product lines.
• Create and update Bills of Materials (BOM) for products.
• Generate reports related to inventory, production, variances, and management to aid operational decisions.
• Verify purchase orders and create service entry sheets for service-related purchases within SAP.
• Maintain detailed purchase order history and records.
• Process outbound deliveries and sales invoices for local and export transactions, including Goods Return Voucher entries.
• Manage material receipts, verify store receipts against vendor documents, and process inventory transactions for samples, damaged or expired materials.
• Prepare material-related credit and debit note entries.
• Conduct physical inventory verification and reconcile stock records with SAP data.
• Create and manage SAP item codes for raw and finished goods.
• Verify and prepare daily production reports coordinating with production supervisors and ensure accurate posting in SAP.
• Maintain accuracy and completeness of production, inventory, and costing data.
• Support audits by providing necessary documentation and reports.
• Ensure compliance with company policies, GMP, HACCP, and quality management systems.
• Collaborate with various departments including Procurement, Warehouse, Finance, QA, and Supply Chain to address operational challenges.
• Identify and implement opportunities to enhance reporting accuracy and operational efficiency.
• Assist the Production Manager with additional tasks as assigned.
• Facilitate communication and coordination among production supervisors and cross-functional teams.
• Offer guidance on SAP transactions related to production and inventory to users.

Qualifications and Skills

• Bachelor’s degree or diploma in Business Administration, Commerce, Industrial Management, or related fields is required.
• Certification in Microsoft Office and SAP/ERP systems is advantageous.
• Between 2 to 4 years of administrative experience in manufacturing or FMCG sectors with production documentation expertise.
• Proficient knowledge of SAP or other ERP platforms.
• Advanced skills in Microsoft Excel, Word, Outlook, and PowerPoint.
• Strong competency in report writing and data management.
• Excellent organizational, time management, and multitasking abilities.
• Effective written and verbal communication skills with attention to detail and precision.
• Familiarity with GMP, HACCP, ISO documentation, and food safety standards preferred.
