Role overview
This position is a combined administrative and workplace operations role. You will support the People Experience (PX) and Workplace Experience (WX) teams while also helping manage the day-to-day running of the London office.
The role plays an important part in keeping PX and WX activities organised and running smoothly, allowing leaders to stay focused on strategic priorities. At the same time, you will help maintain a welcoming, inclusive and productive office environment for employees and visitors.
You will work closely with the Executive Assistant to the CEO to coordinate leadership visits, executive meetings, office events and other activities affecting the London office. The role calls for strong stakeholder management, excellent organisation and a service-oriented approach.
This is a hybrid position, but flexibility is required to work from the London office whenever business needs call for in-person support, including leadership visits, office events and employee engagement activities.
Key responsibilities
- Provide broad administrative support to parts of the PX leadership team, reporting to the Senior EA to the CPXO.
- Arrange meetings, calendars and travel plans.
- Keep team records, organisational charts and internal systems accurate and current.
- Help with budget administration, purchase orders and invoice handling when needed.
- Oversee the daily operation of the London office so it remains safe, welcoming and productive.
- Serve as the main contact for office queries, workplace support and employee experience initiatives.
- Work closely with the Executive Assistant to the CEO to coordinate visits, meetings, office events and other office-impacting activities.
- Collaborate with Executive Assistants, senior leaders and workplace service providers to ensure a smooth office experience.
- Coordinate office vendors, suppliers and building management.
- Work with building management to keep standards, supplies, amenities and shared spaces at a high level.
- Act as a culture ambassador and help build an inclusive, collaborative and engaging workplace for employees and visitors.
- Remain flexible to be onsite when required for key priorities and events.
Candidate profile
We are looking for someone with 1–3 years of experience in administration, office support, reception, hospitality, workplace support or customer service. The ideal candidate can juggle multiple priorities in a busy environment, communicates clearly in English and works well with people at all levels.
Strong attention to detail is essential, along with the ability to follow processes and keep documentation and data accurate. Basic knowledge of accounting and budgeting is helpful.
Good Microsoft Office ability is required, including Outlook, Teams, Word, PowerPoint and Excel. Comfort with AI-enabled tools such as Microsoft Copilot is also valued, especially where they can improve productivity and streamline administrative work.

Education and qualifications
Essential: GCSEs or equivalent, including English and Mathematics.
Desirable: A-levels, BTEC, NVQ Level 3, a Business Administration qualification or an equivalent credential. Additional study in Business Administration, Office Administration, Hospitality, Customer Service or Workplace Management is also considered beneficial.
