Role Summary
This part-time, on-site position in Guelph, Ontario supports the smooth running of daily office activities. The role involves handling correspondence, answering and routing phone calls, coordinating meetings, keeping calendars up to date, and maintaining both digital and paper records. It also includes preparing documents, reports, and presentations, assisting with data entry and basic recordkeeping, and taking care of clerical tasks such as ordering supplies and organizing logistics for meetings or training sessions. The position works closely with project teams and company leadership to keep administrative workflows efficient. The schedule is 10 to 20 hours per week, and the pay rate starts at $23 to $28 per hour depending on experience.
Key Duties
- Manage incoming and outgoing correspondence and keep communication organized.
- Answer phone calls, direct them appropriately, and handle inquiries in a professional manner.
- Coordinate meetings, maintain calendars, and support scheduling needs.
- Organize and update electronic and physical filing systems.
- Prepare, format, and polish documents, reports, and presentations.
- Assist with data entry and maintain accurate basic records.
- Support clerical tasks such as ordering office supplies and coordinating meeting or training logistics.
- Work alongside project teams and leadership to support day-to-day office operations.
Required Qualifications
- Strong background in administrative and clerical work, including document organization and records management.
- Clear communication skills and professional phone etiquette for handling calls and inquiries.
- Experience with executive-level administrative support such as scheduling, meeting coordination, and document preparation.
- Comfort using Microsoft Office or Google Workspace for word processing, spreadsheets, and email management.
- Strong attention to detail, time management, and the ability to juggle multiple priorities.
- Ability to work on-site in Guelph, Ontario and collaborate with technical and project-oriented teams.
- Experience in professional services or engineering environments is considered an advantage.
- Post-secondary education in business administration or a related field is preferred.
