Role Overview
We are looking for a diligent and well-organized Administrative Assistant to offer comprehensive administrative aid to our dynamic commercial team. The ideal candidate will have relevant experience in supporting bid and tender procedures, document management, and preparing proposal materials within a demanding work environment.
Key Responsibilities
- Deliver general administrative and clerical support to the team.
- Assist in the preparation, formatting, and submission of bid and tender documentation.
- Help coordinate Requests for Proposals (RFPs), Requests for Quotations (RFQs), and related commercial proposals.
- Keep precise records, manage filing systems, and maintain document registers.
- Prepare reports, letters, presentations, and various business correspondences.
- Organize meetings, maintain calendars, and arrange travel schedules.
- Collaborate with internal departments to gather necessary documentation for tender submissions.
- Perform accurate data entry while safeguarding the confidentiality of commercial information.
- Support administrative tasks within procurement, human resources, and finance departments as required.
- Undertake additional administrative responsibilities as assigned.
Requirements
- Possess a diploma or bachelor's degree in Business Administration or a related field.
- Minimum of two years' experience in an administrative position.
- Preferred experience in supporting bid, tender, commercial, or proposal teams.
- Knowledge of tender documentation, document control procedures, and submission protocols is advantageous.
- Excellent organizational and time management capabilities.
- Proficient written and verbal English communication skills.
- Familiarity with Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
- Strong attention to detail and precision with the ability to manage tasks under stringent deadlines.
