About the Role and Organization

The Halton Environmental Network (HEN) is a non-profit entity dedicated to promoting climate education and environmental sustainability in the Halton Region since 2004. Recently attaining charitable status in 2022, HEN focuses on equity and integrity in its programming and community engagement. The organization is a member of the Halton Equity and Diversity Roundtable and adheres to its Charter to nurture inclusivity throughout the Halton community.

Position Summary

The Administrative and Financial Services Trainee will contribute significantly to the operational and financial management of HEN’s programs and daily activities. This role requires supporting the enhancement of program management, financial reporting efficiencies, and the creation of data-driven reports and visualizations for funding and impact assessments.

Key Responsibilities

  • Standardizing program manager tracking tools for uniform monthly reporting and budgeting processes.
  • Reconciling monthly expenses related to staff and programs, analyzing data to refine reporting and oversight.
  • Establishing daily financial tracking workflows with the management team.
  • Creating automated reports and trackers to boost operational efficiency.
  • Designing standardized reporting tools for use by staff members.
  • Evaluating current reporting standards and collaborating with staff to define essential metrics.
  • Developing tools to automate the tracking of these key performance indicators.
  • Generating data visualization products to enhance reporting clarity.
  • Enhancing data collection practices to strengthen grant proposals and reporting accuracy.
  • Increasing public awareness of HEN’s services and impact by fostering community engagement and promotion.

General Expectations

  • Maintaining regular communication and feedback with management personnel.
  • Participating in staff meetings and relevant training sessions.
  • Attending planning meetings with the Executive Director as required.
  • Updating the Board and staff during meetings and through digital communication tools.
  • Representing HEN at external events and meetings to promote organizational goals.
  • Responding promptly to communications and arranging follow-up meetings when necessary.
  • Proactively engaging and coordinating with stakeholders, volunteers, youth participants, partners, donors, and community members to ensure effective communication and collaboration.
  • Seeking clarification and support from staff as needed to uphold a collaborative team environment.

Eligibility and Application Process

This opportunity is exclusively available to individuals who identify as First Nations, Inuit, or Metis and reside within the Greater Toronto Area. Candidates must be registered with or eligible to register with Miziwe Biik Aboriginal Employment and Training. Additional Information

The position involves 35 hours per week, including some evening and weekend commitments, paid at a rate of $24.00 per hour. The main work location is Queen Elizabeth Park Community and Cultural Centre, Oakville, ON, with some flexibility for remote work as coordinated with the supervisor.
