About the Role
Step into the role of Admin Business Partner, functioning as an Executive Assistant extraordinaire who swiftly handles urgent tasks and effectively coordinates with both internal and external stakeholders to deliver results. This role demands high confidentiality, rapid response, and the ability to simplify complex situations by pinpointing the right contacts and timing. Reporting to the Chief of Staff supporting a Senior Executive, you'll become a vital organizational force.
Key Responsibilities
- Manage a voluminous meeting calendar to ensure the Executive focuses on strategic priorities by triaging requests and optimizing scheduling.
- Act as a crucial liaison building trusted relationships across stakeholders to ensure seamless communication and visibility.
- Coordinate meeting preparation, including researching, assembling materials, designing presentations, and crafting visual aids.
- Organize and handle comprehensive travel arrangements and itineraries to ensure smooth business trips.
- Support various administrative tasks such as managing expenses, refining documents, and responding to ad hoc requests to maintain operational flow.
Candidate Profile
- Proven experience supporting senior leaders or C-suite executives in administrative or operational capacities.
- Thrives in fast-paced, dynamically shifting environments, managing multiple priorities calmly and efficiently.
- Resourceful problem-solver with a proactive "get-it-done" attitude, ready to tackle assignments of any scale.
- Skilled relationship-builder with strong emotional intelligence, fostering trust and collaboration.
- Highly anticipatory, identifying needs and removing obstacles ahead of time with attention to detail and thoughtful support.
- Adept at contextual thinking, providing practical and effective solutions.
