About the Company
Ode Parfums is a soon-to-launch luxury fragrance brand scheduled to go live in early 2027. The business aims to stand out through imaginative niche perfume collections and related products offered at accessible price points. With a fully direct-to-consumer model, including owned retail stores and ecommerce channels, the brand plans to deliver a premium experience both in person and online through workshops, masterclasses, new discovery formats, and refillable products.
Role Overview
The company is seeking a highly organised Supply Chain Manager with a commercial mindset to take charge of supplier coordination, purchasing and production workflows, and incoming shipment schedules. This role is central to a fast-moving startup and suits someone practical, proactive, and comfortable creating order in an evolving environment.
You will be expected to keep suppliers on track, ensure purchase orders are raised and monitored accurately, and help products move through assembly and shipping on time to support growth. The role also involves direct liaison with suppliers and freight partners, timely issue resolution, and consistent communication with the wider business about order progress, risks, and delays.
Key Responsibilities
- Manage everyday supplier relationships, maintaining clear communication, accountability, and productive commercial partnerships.
- Create, oversee, and follow up on purchase orders from approval through to shipment.
- Confirm that suppliers acknowledge orders, production schedules, and shipping dates against agreed requirements.
- Track all active purchase orders and coordinate inbound freight, spotting potential issues before they affect stock availability.
- Arrange assembly orders with manufacturers and verify that execution is completed correctly.
- Follow up persistently with suppliers so products ship when expected.
- Flag delays, supply chain risks, quality concerns, or missing documentation quickly and clearly.
- Work with internal teams to keep inventory levels aligned with sales, operations, and commercial priorities.
- Improve supply chain processes, reporting, and working methods as the business expands.
- Keep accurate documentation of purchase orders, supplier communication, shipment schedules, and next steps.
- Assess supplier performance and contribute to improvements in delivery consistency, responsiveness, and communication.
- Increase visibility across the business on items ordered, delayed, and due to arrive next.
- Support sourcing, negotiation, and other ad hoc operational or supply chain projects in a startup setting.
Requirements
- Solid background in supply chain, procurement, purchasing, logistics, and supplier management, ideally within a fast-growing company.
- Demonstrated experience working directly with suppliers and ensuring deadlines are met.
- Good understanding of purchase order administration and inbound shipment planning and tracking.
- Comfort in a hands-on role where accuracy and follow-through matter.
- Ability to operate in a startup or scale-up environment where processes may need to be created or refined.
- Strong written and verbal communication skills for dealing with suppliers and updating internal stakeholders.
- Good problem-solving ability and comfort acting quickly when plans change or issues arise.
- Exceptionally organised, self-driven, and capable of juggling several suppliers, orders, and shipping deadlines at once.
- Commercial awareness of how supply chain execution affects sales, stock availability, and growth.
- Comfort using spreadsheets, inventory tools, ERP systems, or purchasing software.
- Desirable: experience in beauty or FMCG.
- Desirable: experience working with international suppliers, manufacturers, or freight partners.
- Desirable: knowledge of import/export paperwork and shipping procedures.
