Purchasing Officer

Job Summary

The Purchasing Officer handles the sourcing and buying of goods and services needed to keep the organization running efficiently. The role focuses on securing quality materials on time and at competitive prices, while building productive supplier relationships and following internal procedures.

Core Responsibilities

• Source, assess, and onboard dependable suppliers based on the organization’s needs.
• Draft, manage, and complete purchase requests, purchase orders, and supporting paperwork.
• Work with vendors on pricing, delivery schedules, and payment terms to reduce purchasing costs.
• Track supply timelines, ensure goods and services arrive on time, and address procurement-related issues.
• Keep an eye on stock levels and coordinate with internal teams to avoid shortages or excess inventory.
• Check received items against orders and delivery documentation.
• Update and maintain procurement files, supplier information, and contract records accurately.
• Follow company procurement rules, ethical expectations, and relevant regulatory standards.
• Research the market to find new suppliers and more economical sourcing options.
• Assist audits by supplying procurement records, reports, and other required documentation.

Qualifications & Experience

The ideal candidate should hold a bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or a closely related discipline. A minimum of 1 to 3 years of experience in purchasing or procurement is required. Familiarity with ERP or procurement software is considered an advantage.
