Project Officer - Equipment Replacement

Role Overview

The Project Officer for Queensland Children’s Hospital (QCH) Equipment Replacement plays a vital role supporting the Program Manager and Project Manager in safely delivering several major equipment upgrade and replacement initiatives across QCH. This position involves providing comprehensive program support, coordinating project tasks, handling secretariat duties, and managing administrative activities. The objective is to contribute towards sustaining high-quality, safe, and functional healthcare environments that facilitate exceptional care for children, adolescents, and their families.

Team Environment

The Critical Care team at QCH delivers specialized clinical services encompassing the Emergency Department, Medical Imaging and Nuclear Medicine, Anaesthetics, Cardiac Surgery and Cardiology Units, Paediatric Intensive Care Unit (PICU), CHQ Retrievals Service, Simulation Training Optimising Resuscitation for Kids (STORK), and Queensland Interdisciplinary Paediatric Persistent Pain Service. The team is dedicated to providing exceptional patient-centered care within a fast-paced and complex hospital setting, enhancing both critical and elective service effectiveness and efficiency.

Key Responsibilities

• Deliver comprehensive project coordination by organizing meetings, preparing agendas, documenting minutes, tracking actions, managing project documentation, and compiling reports for the QCH Equipment Replacement program.
• Coordinate multiple project activities ensuring adherence to defined scope, quality standards, timelines, and budgets.
• Support risk and issue management processes, monitor financial aspects, and provide governance assistance across diverse equipment replacement projects.
• Communicate and collaborate effectively with internal and external stakeholders to support project progress, provide timely updates, and manage impacts on hospital operations and healthcare service delivery.
• Ensure project compliance with Queensland Health regulations, governance policies, legislative requirements, and organizational standards while maintaining accurate project records.
• Prepare and maintain essential project documentation such as submissions, briefing notes, project plans, progress updates, and closure reports to inform governance and assist decision-making.
• Foster productive working relationships with a wide range of stakeholders, facilitating consultation and consensus throughout the project lifecycle.
• Provide clear and appropriate communications tailored to diverse audiences, including contracted service providers and clinical/non-clinical teams within CHQ.
• Act as a collaborative team member, cooperating with colleagues and stakeholders to identify risks, propose mitigation strategies, and achieve project objectives.
