Role Summary
The Project Coordinator will provide essential support to the Project Management Office (PMO) and project managers across diverse client and internal projects. Key responsibilities involve maintaining organization across multiple projects, ensuring timely updates, preparing meeting documents, and facilitating communication among teams and stakeholders. The ideal candidate is highly organized, proactive, enthusiastic to acquire project management knowledge, and motivated to contribute to NetCov's project success.
Key Responsibilities
- Assist project managers with tracking progress, milestones, and deliverables via PMO tools
- Maintain up-to-date task lists, timelines, and dashboards reflecting current project status
- Monitor critical deadlines, ensuring documentation and updates are completed promptly and accurately
- Coordinate sprint activities, including scheduling, tracking sprint items, and recording notes or actions
- Prepare agendas, documentation, and presentation materials for meetings with clients and internal teams
- Take thorough meeting notes, track action items, and update PMO tools accordingly
- Facilitate consistent communication by drafting updates and reports for leadership and clients
- Support standardization of templates, reports, and workflows within the PMO to improve efficiency
- Manage project records and archives with proper version control and documentation
- Help compile project decks and management reports for senior PMO leadership
- Manage scheduling and logistics for project calls, sprint reviews, retrospectives, and stakeholder updates
- Contribute ideas for enhancing PMO tools, templates, and procedures
- Stay current with project management trends and best practices to boost team productivity
- Provide administrative and operational support for additional PMO initiatives as needed
- Perform other tasks assigned by management
Required Skills and Experience
- Outstanding organizational abilities and meticulous attention to detail
- Strong written and verbal communication skills
- Capability to juggle multiple priorities across simultaneous projects
- Comfortable collaborating with both technical and non-technical personnel
- Proficient with project management and collaboration software such as HaloPSA, Microsoft Teams, and SharePoint
- A proactive, service-driven mindset emphasizing teamwork and delivery
- Bachelor’s degree in Business, Management, Project Management, or equivalent experience
- 1 to 3+ years’ experience in project coordination, operational support, or customer service roles
- Familiarity with Agile or project management environments is a plus
