Role Overview
The Project Coordinator plays a vital role in ensuring project success by facilitating organization, precision, and teamwork across multiple departments. This position supports Project Managers in managing essential project documentation and financial and operational workflows through all project phases.
Key Responsibilities
- Manage CRM entries for contacts and companies accurately.
- Create and maintain project documentation in Deltek Vantagepoint from initial pursuit through to completion.
- Oversee the establishment and upkeep of network and Outlook folders for project-specific data.
- Prepare monthly client billing invoices and compile project status updates, pay applications, and lien waivers.
- Assist Project Managers with forecasting input and updates; act as a resource for Deltek Vantagepoint queries.
- Review project reports to help ensure deadlines and budget targets are met.
- Record daily bank deposits within the accounting system accurately.
- Provide administrative support to the operations team and undertake office management duties such as welcoming visitors, managing mail, ordering supplies, and handling building maintenance coordination.
- Deliver excellent customer service by positively engaging with staff, clients, subconsultants, contractors, and municipalities, effectively promoting the company's capabilities.
- Perform additional duties as assigned or required.
Qualifications & Experience
- Experience with Deltek Vision or Vantagepoint software is desirable but not essential.
- Strong ability to generate reports, reconcile data, detect discrepancies, and determine appropriate corrective actions.
- Excellent decision-making capabilities combined with strict confidentiality maintenance.
- Comfortable working independently and collaboratively; adaptable to changing work environments.
- Responsive and effective problem solver for client and employee inquiries.
- Proficient computer skills including Microsoft Office and familiarity with accounting software.
- Disciplined and thoughtful team player.
- Associate's or bachelor's degree in business administration, accounting, or finance preferred or equivalent work experience.
- Minimum of two years progressive experience in project administration or project accounting, preferably within architectural, consulting engineering, interior design, or professional services firms.
Compensation
The starting annual base salary ranges from $58,000 to $63,000.
