Role Overview
This non-supervisory position manages the seamless operation of USP’s Council of Experts’ (CoE) activities and expert committees. It supports compendial projects aiding the development and revision of standards while fostering collaboration with expert volunteers and program units.
Key Responsibilities
- Oversee Expert Committees and associated groups by organizing agendas, distributing briefing materials, monitoring action items, recording meeting notes, and ensuring meeting progression.
- Communicate effectively with program leads and cross-functional teams to coordinate project activities.
- Manage logistics and provide on-site coordination for Expert Body Meetings both at USP’s Meeting Center and external locations, representing USP professionally.
- Contribute to improving Expert Committee operations by identifying process enhancements and implementing solutions.
- Coordinate documentary and reference standards through internal processes and assist in preparing official USP responses collaboratively.
- Support Compendial Operations teams including candidate recruitment, CoE meetings, and stakeholder interactions.
- Perform recurring tasks that facilitate smooth daily workflows for the Expert Committee Management team.
- Assist with planning, executing, and monitoring short- and long-term projects ensuring adherence to scope and deadlines.
- Facilitate communication, document management, and logistical support across cross-functional teams.
- Develop project plans, track timelines and deliverables, and organize project meetings and reviews.
- Maintain organized project documentation and provide regular progress updates to stakeholders.
- Act as primary liaison among team members to ensure clarity and consistency in communication.
- Facilitate team meetings by preparing agendas and summarizing action points.
- Collaborate with stakeholders to clarify tasks and ensure comprehensive understanding of project requirements.
- Enter data into software platforms such as Apheleia or Salesforce for contact management and related activities.

Qualifications and Experience
- Master’s degree in a scientific discipline or related field; MBA preferred.
- Minimum 7 years of relevant experience, ideally within a scientific or healthcare industry, with proven program and project management of complex, multi-faceted initiatives.
- Strong proficiency with MS Office suite (Word, Excel, PowerPoint), MS Teams, MS Project, MS Access, and Co-pilot, including virtual presentation skills.
Additional Preferred Skills
- Project Management Professional (PMP) certification or equivalent credential.
- Exceptional project planning and organizational skills.
- Ability to collaborate effectively with diverse employees and customers in a positive, cooperative manner.
- Outstanding verbal and written communication skills.
- Strong critical thinking and problem-solving capabilities.
- Proficiency in drafting and editing detailed meeting minutes.

This role does not include direct supervisory responsibilities.
