Role Overview
We are seeking a detail-oriented and analytically minded Procurement Coordinator to lead financial analysis, sourcing strategies, and RFP management for Alo’s retail store development initiatives worldwide. This position blends procurement functions with financial planning and analysis, focusing on building financial models, conducting competitive bidding studies, managing expenditures relative to budgets, and transforming complex information into actionable insights.
The incumbent will coordinate all aspects of RFP processes, ensuring stakeholder alignment and timeline adherence. Close collaboration is expected with Finance, Store Design, Visual Merchandising, Facilities, Store Operations, and Legal teams to guarantee all procurement decisions are thoroughly data-supported and precisely executed.
Key Responsibilities
- Develop and maintain sophisticated Excel models for financial evaluation, price tracking, cost comparison, and reporting dashboards aiding procurement decisions.
- Work alongside Finance to manage budgets, monitor capital and operational expenditures, assess purchase variances, and compile period-end reports related to retail projects.
- Evaluate vendor pricing, historical spending patterns, delivery timelines, and order data to pinpoint cost-saving opportunities and risk factors.
- Convert extensive datasets into clear, decision-making summaries for procurement leaders and department stakeholders.
- Maintain accurate and comprehensive records of costs and procurement data across all active projects.
- Manage complete RFP cycles by preparing bid documentation, coordinating timelines, gathering and standardizing vendor proposals, and conducting detailed comparative analyses.
- Assist sourcing managers in crafting recommendation documents and communicating bid results to decision makers.
- Monitor multiple sourcing projects concurrently, track progress transparently, and proactively identify and escalate any obstacles.
- Oversee sourcing calendars and project trackers to facilitate timely execution of RFPs, contract renewals, and vendor evaluations.
- Support vendor onboarding tasks, pilot initiatives, and initial contractual processes in cooperation with Legal.
- Maintain vendor scorecards and performance data to aid ongoing assessments and negotiation preparedness.
- Track key vendor KPIs including pricing compliance, delivery lead times, quality standards, and fulfillment metrics.
- Contribute to the creation of competitive price benchmarks and comprehensive total cost of ownership analyses.
- Ensure vendor and contract documentation are meticulously organized, up-to-date, and compliant with audit requirements.
- Coordinate procurement-related projects, managing tasks, aligning relevant teams, and driving progress efficiently.
- Collaborate with Store Design, Facilities, and Operations teams to collect procurement requirements and translate them into clear sourcing briefs.
- Aid Legal in organizing vendor contracts, including MSAs, SOWs, and service agreements.
- Prepare informative presentations, updates, and summary reports for internal procurement reviews.
Candidate Requirements
- Bachelor’s degree in Finance, Business, Economics, Supply Chain, or a related field.
- Between 2 to 4 years of experience in financial planning and analysis, procurement, strategic sourcing, finance operations, or a comparable analytical position.
- Advanced proficiency in Excel, including financial modeling, pivot tables, VLOOKUP/INDEX-MATCH functions, data normalization, and dashboard creation.
- Strong analytical and quantitative skills with the ability to build models independently and rigorously analyze assumptions.
- Proven experience managing complex multi-stakeholder projects with conflicting deadlines and deliverables.
- Exceptional attention to detail and commitment to data accuracy and thorough documentation.
- Clear and structured communication skills suitable for presenting findings and recommendations to varied audiences, including non-financial stakeholders.
- Self-motivated and capable of handling workload autonomously in a fast-paced setting.
- Experience facilitating RFP or competitive bidding processes.
- Familiarity with retail environments, store development projects, fixtures procurement, or capital project sourcing.
- Knowledge of ERP or procurement platforms such as SAP, Coupa, or Ariba.
- Experience with data visualization tools, including Power BI, Tableau, or Looker.
- Background or affinity for premium retail brands and luxury environments.
- Must be able to work full-time onsite at the Los Angeles office.
Compensation and Additional Information
The annual base salary for this exempt role ranges from $85,000 to $95,000, dependent on location, experience, and performance. Final compensation may sometimes exceed the upper range. Total rewards encompass performance bonuses, long-term incentives, paid time off, and other progressive employee benefits.
