Job Overview
This role focuses on welcoming visitors and managing telephone inquiries at the reception and administrative desk with strictly non-clinical duties.
Key Responsibilities
- Deliver clerical and general administrative assistance.
- Offer a warm, inviting reception to patients, clients, and guests.
- Answer phone calls, take detailed messages, and route calls appropriately.
- Register visitors and guide or accompany them to designated locations.
- Notify staff members about visitor arrivals and cancellations.
- Keep an accurate visitor sign-in register.
- Manage inbound and outbound mail handling.
- Organize appointment scheduling and coordinate meeting room reservations.
- Keep the reception area neat and orderly.
- Complete any additional tasks assigned by management.
- Adhere strictly to confidentiality regulations regarding residents' protected health information and report any breaches.
Qualifications and Skills
- A minimum of a high school diploma or GED is essential.
- Prior experience in administrative or receptionist roles is advantageous.
- Competence in reading and interpreting business and technical documents.
- Skill in composing reports, correspondence, and procedural guides.
- Ability to communicate effectively with staff and management.
- Mathematical ability to handle percentages, fractions, ratios, and proportions in practical applications.
- Problem-solving skills with capacity to manage various complex, unstandardized situations.
- Understanding and following instructions in multiple forms, including oral, written, and diagrammatic.
- Basic proficiency with Microsoft Office Suite and multitasking phone systems.
Physical and Work Environment
- Occasionally lift or move objects up to 25 pounds.
- Extended computer usage and frequent phone, copier, scanner, and fax machine operation.
- Regular periods of sitting, standing, walking, talking, reading, and listening.
- Work environment noise is usually low to moderate.
