Role overview
The Commercial Operations team is looking for a detail-driven Order Management Specialist who can keep the order fulfillment process accurate, timely, and customer-centered. This position oversees orders from entry to final delivery and acts as a connection point between customers and internal departments. Success in the role depends on precision, initiative, clear communication, and strong coordination across functions.
Order processing and order control
- Enter customer orders into the ERP platform with care, making sure the information is complete and aligned with internal standards.
- Review and verify key order details such as pricing, inventory position, delivery timing, and customer-specific terms.
Customer communication
- Keep customers informed ahead of time about order progress, delays, and other updates.
- Handle customer questions in a professional manner and work toward fast, effective answers.
Issue handling and escalation
- Spot and correct order mismatches, inventory challenges, and shipment delays.
- Escalate urgent or complex matters to the Order Management Manager and partner on resolution.
Cross-functional coordination
- Coordinate closely with Inside Sales, Customer Success, Supply Chain, and Logistics teams to support smooth fulfillment.
- Share information across departments so customer expectations are met consistently.
Documentation, compliance, and reporting
- Keep ERP records complete and accurate for every order transaction and customer interaction.
- Follow internal procedures, customer requirements, and applicable regulations in day-to-day work.
- Help monitor performance measures such as order accuracy, fulfillment cycle time, and success rates.
- Contribute ideas that can improve workflow efficiency and the overall order management process.
Inventory and logistics support
- Work with Inventory and Supply Chain teams to track product availability and flag possible stock shortages.
- Support logistics coordination so deliveries are accurate and on time.
Schedule and work arrangement
This is a hybrid position based in Lemont, Illinois, with a schedule of 3 days in the office and 2 days working from home each week.
