Role Overview

The Document Controller plays a central role in managing the project Document Management System and Digital Field Tool. They implement the Information Management strategy while providing essential training and support to project teams and users. Compliance with Digital Project Delivery protocols and standards such as ISO 19650, BS 1192, and PAS 1192 is crucial.

Key Responsibilities

  • Validate and manage all incoming and outgoing project documents by ensuring accurate receipt, classification, verification, registration, distribution, and retrieval.
  • Create and maintain central site documentation files, including uncontrolled drawings, registers, and specific files such as Operation & Maintenance, Health & Safety, Quality, Environmental, and BCAR files.
  • Configure and enforce change control procedures within the Common Data Environment (CDE).
  • Develop distribution matrices, status reports, and workflows for sample submissions, Technical Queries (TQs), Requests for Information (RFIs), and other data as per project standards.
  • Participate in project meetings to collaborate with teams and stakeholders regarding documentation and information management matters.
  • Identify process improvement opportunities to reduce waste and mitigate risks in document management workflows.
  • Provide coverage and support for other Document Controllers during absences such as holidays and sickness.
  • Assist the Information Systems Manager in ensuring compliance with company-wide Digital Project Delivery procedures and standards.
  • Conduct training sessions for new users of digital tools like VFP and Field View, either one-on-one or in groups.
  • Serve as the primary contact for supporting and coaching project participants including clients, design teams, subcontractors, and supply chain partners.
  • Develop and refine project file naming standards and workflows in coordination with the Information Systems Manager.
  • Continuously guide project teams to ensure full adherence to Digital Project Delivery protocols.
