Role Overview
The Human Resources Executive position is a full-time, on-site role based in Singapore. This role supports daily HR functions such as maintaining accurate employee records, benefits administration, coordinating recruitment efforts, and assisting in onboarding and offboarding processes. The Executive also supports implementation of HR policies, performance management cycles, employee engagement programs, and basic employee relations. Accuracy, collaboration with internal teams, prompt follow-ups, and attention to detail are key to ensuring seamless HR operations.
Key Responsibilities
- Manage recruitment activities including posting job ads on approved platforms, sourcing and shortlisting candidates, coordinating interviews, communicating with applicants, verifying employment documents, and supporting hiring managers with recruitment tasks.
- Oversee employee onboarding by coordinating the process, conducting orientation sessions to introduce company policies and workplace safety, arranging resources like access cards and workstations, and setting up workflows for leave, timesheets, and expenses.
- Handle offboarding processes including managing resignations, preparing necessary documentation, verifying leave balances, coordinating final clearances, and ensuring return or deactivation of company property and access permissions.
- Maintain and update employee records and HR databases securely, respond to employee inquiries on HR policies and records, and assist with HR reporting and regulatory documentation.
- Administer employee leave applications and process expense claims according to company policies.
- Provide HR support for project-site employees, including reviewing overtime claims, preparing employment letters, maintaining records of site assignments and contract durations, and coordinating with project teams on administrative matters.
- Support office administration including managing building access, locker assignments, workstation arrangements, liaising with building management on access and visitor matters, covering reception duties during absences, and performing general administrative tasks as assigned.
Qualifications and Skills
- Solid foundation in Human Resources management, capable of supporting both strategic and operational HR functions.
- Practical experience in HR operations, including administration, documentation, and use of HR systems or HRIS.
- Knowledgeable about HR policies and employment regulations ensuring adherence and consistency.
- Experience in employee relations with strong communication and conflict resolution abilities fostering a positive workplace environment.
- Diploma or Bachelor's degree in Human Resources, Business Administration, or related discipline, or equivalent practical background.
- Excellent organizational, analytical, and problem-solving skills with great attention to detail and confidentiality.
- Effective communication skills in English, both written and verbal.
- Proficiency with MS Office applications and familiarity with HR software; experience in professional services or design/engineering industries advantageous.
