Role Overview
We seek a highly organized and detail-focused Executive Assistant to provide comprehensive support to our CEO and Founder. This role includes managing day-to-day scheduling, coordinating travel arrangements, and facilitating communication both within and outside the company. The position also involves handling select personal tasks to support the CEO's effectiveness.
Primary Responsibilities
- Oversee the CEO's daily calendar, organizing meetings and serving as the key contact for internal and external parties.
- Plan and execute team meetings and offsite events for the executive leadership.
- Arrange detailed and complex travel plans for the CEO domestically and internationally.
- Attend essential meetings to take accurate notes, distribute them, and monitor follow-ups.
- Anticipate the CEO’s requirements, proactively addressing challenges and offering solutions.
- Prepare the CEO for meetings by gathering relevant documentation and clarifying objectives and participant details.
- Handle sensitive information with utmost confidentiality and discretion.
- Represent the CEO positively, fostering relationships across AvantStay leadership, personal connections, investors, board members, and consultants.
- Manage personal appointments and relevant personal administrative tasks for the CEO.
- Perform additional responsibilities as assigned.
Required Qualifications and Skills
- A Bachelor’s degree is mandatory.
- Minimum five years of prior experience supporting senior or C-level executives, preferably within startup environments.
- Exceptional organizational abilities with capacity to juggle multiple priorities in a dynamic setting.
- Excellent written and oral communication skills, capable of composing messages and preparing presentations effectively.
- Flexibility to work beyond standard hours as needed to accommodate executive schedules.
- Ability to maintain strict confidentiality with sensitive information.
- Professional demeanor when interacting with diverse groups, including executives, investors, and board members.
- Self-driven, capable of completing numerous tasks and initiatives with minimal supervision.
Logistics and Additional Information
The position can be held by candidates based in the US or internationally, with compensation adjusted for the candidate’s location, expertise, and experience. Candidates must be located in North or South America, fluent in English, and willing to work compatible hours in PST and EST to align with the CEO’s availability.
